Senior Maintenance Manager
- Minimum high school diploma or GED; technical, trade, facilities, construction, engineering, or related education/certification preferred.
- Minimum of 7 years of progressively responsible commercial maintenance experience, preferably within a multi-building, campus, nonprofit, hospitality, apartment, institutional, or similar environment.
- Minimum of 5 years of progressive leadership or management experience, including experience supervising managers or leading maintenance teams.
- Demonstrated experience with major maintenance projects, capital planning, budgeting, vendor and contractor management, preventative maintenance programs, and asset lifecycle planning.
- Strong project-management and organizational skills with the ability to oversee multiple properties, projects, priorities, budgets, vendors, and deadlines simultaneously.
- Proficient computer skills, including Microsoft Office, email, spreadsheets, work-order systems, project tracking, budgeting, scheduling, and electronic documentation.
- Strong financial and business judgment related to repair-versus-replace decisions, cost comparison, bid review, vendor selection, and responsible stewardship of organizational resources.
- Strong leadership, communication, coaching, problem-solving, negotiation, and relationship-building skills.
- Working technical knowledge of commercial HVAC, electrical, plumbing, mechanical, life-safety, building systems, and preventative maintenance practices.
- Maintain a valid Arizona driver's license and a clean driving record.
- Ability and willingness to safely operate GRM commercial vehicles and towable equipment as assigned, including food trucks, box or similar work vehicles, and trailers such as food or clothing trailers.
- Ability to complete required GRM vehicle and trailer training and demonstrate safe operation, backing, parking, hitching, unhitching, towing, and pre-trip inspection practices for assigned vehicles and trailers.

Physical Demands:
- Some local travel to GRM-owned or operated properties for inspections, projects, vendor meetings, emergencies, and business-related needs.
- May be required to drive commercial or larger organizational vehicles and tow trailers to GRM locations, outreach activities, events, service appointments, or other approved destinations.
- Requires frequent sitting, standing, and walking and occasional lifting, carrying, pushing, and pulling objects weighing up to 50 pounds.
- Ability to access maintenance areas, equipment rooms, rooftops, construction/project areas, and other work areas as reasonably required for oversight and inspection.

Responsibilities & Duties
The Senior Maintenance Manager provides strategic and operational leadership for GRM's Maintenance Department across all GRM-owned and operated properties. This role is responsible for ensuring GRM's buildings, major equipment, mechanical systems, preventative maintenance programs, projects, vendors, budgets, and long-term asset needs are effectively managed. The Senior Maintenance Manager provides the technical maintenance expertise and department-level ownership needed to move Maintenance from reactive problem solving toward proactive planning, accountability, cost control, and long-term stewardship.
The Senior Maintenance Manager leads through the Maintenance Manager and is primarily responsible for leadership, planning, oversight, budgeting, project management, vendor strategy, compliance, and long-term maintenance planning rather than routine hands-on repairs. The Senior Maintenance Manager may assist directly during significant emergencies, staffing shortages, or situations requiring advanced technical expertise.
General Activities
Department Leadership & Accountability
- Provide overall leadership, direction, standards, and accountability for the Maintenance Department across all GRM-owned and operated properties, including vacant or future properties as assigned.
- Oversee maintenance-related operational readiness of assigned GRM commercial vehicles, food trucks, and trailers used for organizational operations or events, coordinating inspections, repairs, preventative maintenance, and service needs as appropriate.
- Directly supervise, coach, develop, and evaluate the Maintenance Manager; establish clear expectations and ensure the Manager effectively leads day-to-day maintenance operations and Maintenance Technicians.
- Ensure appropriate department structure, staffing, scheduling, training, communication, documentation, and accountability are maintained.
- Establish department goals, priorities, procedures, performance expectations, and service standards aligned with GRM's mission and operational needs.
- Review maintenance workload, work-order performance, project progress, preventative-maintenance completion, vendor performance, and recurring operational concerns to identify needed improvements.
- Hold the Maintenance Manager accountable for daily work-order management, technician performance, project tracking, inventory, routine purchasing, vendor coordination, and on-call scheduling.

Strategic Maintenance & Asset Planning
- Develop and maintain short- and long-term maintenance strategies for GRM properties, building systems, major equipment, and infrastructure.
- Develop and maintain a rolling 1-, 3-, and 5-year maintenance and capital replacement plan to identify anticipated repairs, replacements, upgrades, and major expenditures.
- Evaluate the condition, useful life, service history, reliability, and replacement needs of major assets and building systems.
- Identify deferred maintenance and operational risks and establish prioritized plans to address them before they become emergencies or significant failures.
- Make informed repair-versus-replace recommendations based on safety, age, reliability, lifecycle cost, energy efficiency, warranty, operational impact, and available resources.
- Partner with organizational leadership on future properties, expansions, renovations, building improvements, and other maintenance-related planning.
- Ensure asset records, service histories, warranties, manuals, inspection records, and major replacement recommendations are organized and maintained.
Major Project & Capital Project Management
- Lead larger or more complex maintenance and capital projects, including major HVAC replacements, roofing, plumbing or electrical infrastructure, remodels, major equipment purchases, building improvements, and similar projects.
- Develop or review project scopes, specifications, budgets, timelines, bid requirements, vendor recommendations, approvals, implementation plans, and closeout documentation.
- Ensure 2-3 competitive quotes or proposals are obtained for larger projects and purchases when practical and appropriate, and evaluate proposals based on total value rather than price alone.
- Manage multiple major projects simultaneously and maintain clear project tracking for scope, priority, budget, vendor, schedule, milestones, risks, next steps, and completion status.
- Coordinate with the Maintenance Manager on smaller and routine projects while maintaining senior-level oversight of projects with significant financial, operational, safety, or organizational impact.
- Provide leadership with timely updates regarding project status, budget variance, delays, change orders, risks, and decisions requiring escalation.
- Verify major projects are completed according to approved scope, quality expectations, applicable requirements, and organizational needs before final closeout.
Budgeting, Forecasting & Cost Stewardship
- Manage the Maintenance Department budget provided by organizational leadership and ensure responsible stewardship of maintenance resources.
- Monitor spending, trends, recurring costs, major repairs, contracts, and project expenses throughout the year and address significant variances or concerns.
- Provide informed input during annual budget development regarding anticipated maintenance needs, service contracts, equipment replacement, capital projects, staffing, tools, parts, and other departmental priorities for the upcoming year.
- Use maintenance history, asset condition, project plans, vendor pricing, and operational needs to support realistic future budget recommendations.
- Review significant purchasing and vendor recommendations and ensure appropriate price comparison, approvals, documentation, and cost-control practices are followed.
- Evaluate opportunities to reduce long-term costs through preventative maintenance, appropriate in-house work, vendor negotiation, standardization, warranties, improved purchasing, and planned replacement rather than emergency response.
Vendor, Contractor & Contract Management
- Provide strategic oversight of maintenance vendors, contractors, service providers, and larger maintenance-related contracts.
- Develop and maintain strong professional rapport with key vendors and contractors while establishing clear expectations for communication, pricing, safety, quality, responsiveness, documentation, and timelines.
- Review significant estimates, proposals, service agreements, contracts, scopes of work, change orders, and vendor recommendations before approval or escalation.
- Lead or support negotiations for major service agreements, projects, and vendor relationships to achieve appropriate value and service for GRM.
- Evaluate vendor performance and address recurring quality, communication, cost, scheduling, or service concerns.
- Maintain or ensure organized vendor records, contracts, warranties, proposals, service histories, insurance documentation when applicable, and relevant correspondence.
- Support the Maintenance Manager in day-to-day vendor coordination while assuming direct oversight when a project, contract, relationship, or issue requires senior-level involvement.
Preventative Maintenance, Work Orders & Operational Performance
- Ensure the Maintenance Manager maintains an effective preventative-maintenance program for building systems, equipment, inspections, and recurring service requirements.
- Review preventative-maintenance completion and work-order trends to identify recurring failures, aging assets, staffing concerns, training needs, and opportunities for process improvement.
- Establish expectations for work-order prioritization, response, documentation, aging, completion, and follow-through, and periodically audit performance for compliance.
- Ensure emergency and after-hours maintenance coverage is appropriately structured through the Maintenance Manager's on-call rotation and escalation process.
- Use maintenance data and operational trends to improve department performance and reduce preventable emergency repairs and service disruptions.
- Develop and monitor meaningful department performance measures, such as open and aging work orders, preventative-maintenance completion, project status, emergency calls, vendor costs, recurring repairs, and budget performance.
Safety, Compliance & Risk Management
- Provide senior-level oversight of maintenance-related safety, regulatory compliance, inspections, life-safety systems, and required documentation.
- Ensure required fire alarm, sprinkler, safety-device, Master Meter, equipment, and other maintenance-related inspections and records are properly maintained.
- Ensure the Maintenance Department follows applicable OSHA standards, safe work practices, environmental requirements, and organizational safety procedures.
- Coordinate with City, County, Fire, inspectors, utilities, and other authorities as appropriate regarding technical compliance, permits, inspections, or maintenance-related requirements.
- Identify building, equipment, infrastructure, and maintenance risks that could affect safety, operations, property, guests, staff, volunteers, or organizational continuity and communicate significant risks to leadership.
- Ensure incidents, significant failures, repeated problems, and safety concerns are reviewed for root cause and appropriate corrective action.
Executive Communication & Cross-Department Coordination
- Serve as GRM's senior maintenance subject-matter resource and provide informed recommendations to the Operations Director, COO, CEO, and other leadership as appropriate.
- Attend Operations, leadership, budget, planning, safety, and other meetings as directed and provide maintenance expertise and updates.
- Provide regular, organized reporting on major projects, work-order performance, preventative maintenance, budget status, vendor issues, equipment concerns, capital needs, and emerging risks.
- Communicate significant outages, project impacts, maintenance risks, major repairs, vendor issues, and anticipated operational disruptions to leadership and affected departments in a timely manner.
- Partner effectively with other GRM departments while maintaining clear separation between Maintenance and Facilities/Custodial responsibilities.
- Translate complex technical issues into clear operational, financial, and risk-based information that supports leadership decision-making.
