Job Overview:

The Senior Procurement Administrator is responsible for managing global supplier onboarding and registration activities, ensuring compliance with company policies and regulatory requirements. The role serves as a key point of contact for supplier data management, stakeholder support, and procurement administration activities, while maintaining high standards of accuracy & efficiency.

Key Tasks and Responsibilities:

Supplier Registration & Onboarding:

  • Manage global supplier registration requests
  • Review supplier registration applications to ensure completeness, accuracy, and compliance with corporate requirements
  • Validate supplier information, documentation, certifications, and business details prior to onboarding
  • Assess supplier submissions against applicable compliance standards and procurement requirements
  • Review and classify supplier product/service categories to ensure proper categorization within procurement systems
  • Coordinate approval workflows with other departments
  • Monitor registration status and follow up with suppliers to ensure timely completion of onboarding activities
  • Maintain supplier master data integrity across procurement systems
  • Process supplier profile updates
  • Ensure supplier records remain current, accurate, and compliant with organizational standards

Procurement Administration:

  • Provide timely support to internal stakeholders regarding supplier registration and supplier data maintenance processes
  • Investigate and resolve supplier onboarding and system-related issues
  • Support procurement compliance initiatives and audit requirements
  • Maintain documentation and records related to supplier onboarding and administrative activities
  • Partner with procurement teams, business requestors, suppliers, and cross-functional stakeholders globally
  • Collaborate with QHSES evaluators and compliance teams to facilitate supplier approval processes
  • Communicate clearly and professionally with suppliers and internal customers regarding registration requirements and status updates
  • Build effective working relationships with stakeholders to ensure seamless procurement operations
  • Identify opportunities to streamline supplier onboarding and administrative processes
  • Contribute to process improvement initiatives that enhance efficiency, compliance, and user experience
  • Support implementation of procurement system enhancements and process changes
  • Develop and maintain process documentation, work instructions, and training materials

Essential Qualifications and Education:

  • Strong Knowledge of administration process

  • Strong analytical and problem-solving skills

  • Effective stakeholder management and relationship-building abilities

  • Strong verbal and written communication skills

  • Ability to manage multiple priorities in a fast-paced global environment

  • Proficiency in Microsoft Office Suite, Microsoft Forms, and procurement/ERP systems

  • Ability and willingness to work flexible hours if required, with WFH as an option

  • Excellent English verbal and written communication skills

  • Ability to communicate professionally with global suppliers, internal stakeholders, and cross-functional teams

  • Capable of delivering timely status updates

  • Strong email and telephonic management skills with attention to detail and professionalism

  • Preferred experience is 4-5 years

  • Experience supporting global procurement operations
  • Knowledge of supplier risk assessment, compliance, and QHSES approval processes
  • Experience with supplier databases, ERP systems, and procurement platforms
