Senior Project Coordinator
Job Responsibilities
· Manage the Document Management System (e.g.,Aconex, SharePoint) to ensure all drawings, specifications, reports, andcorrespondence are accurately logged, tracked, distributed, and archived.
· Maintain up‑to‑date project documentation,including registers for submissions, RFIs, shop drawings, material samples,RINs, and approvals.
· Compiling and formatting project reports,presentations, and tender documentation required by PM team
· Monitor and track the progress and development of all related projectdeliverables through the various stages of the project
· Plan and coordinate all contractor logistics, including the booking ofloading bays, cargo lifts, and delivery routes. ensure strict adherence todesignated delivery windows (often during off-peak/night hours) to minimizeoperational impact.
· Assist in the preparation, implementation, and maintenance of the ProjectExecution Plan (PEP), aligning with MBS policies, standards, and processes.
· Supervising the contractor teams. Provide expertise, guidance, advice,support and motivate contractor teams.
· Assist in the reporting to senior management via meetings or by regularwritten reports the progress of project related matters together with thestatus of related issues.
· Manage limited site storage space efficiently and oversee the dailyremoval of construction debris/waste from the property to designated holdingareas.
· Coordinate 2‑week look‑ahead schedules with contractors; monitor physicalprogress vs. plan, highlight variances, and recommend recovery actions.
· Inspect site daily to ensure contractors meet the property's high visualstandards (clean and properly lit). Enforce strict site housekeeping to preventdust or debris migration into public or operational areas.
· Verify and facilitate MBS work permits (PTW, Hot Work, Height Work) andmanage the daily sign-in/sign-out process for large volumes of contractorworkers.
· Coordinate the RFI (Request for Information) and Shop Drawing submission process,tracking submissions against the Project Tracker.
· Monitor contractor procurement schedule and alert the project team of anypotential delays in long-lead times (eg., stones, ironmongery, joinery, lightfittings)
· Coordinate day‑to‑day construction activities with contractor on‑site toensure works are sequenced according to the Construction programme.
· Coordinate multidisciplinary interfaces (Arch/Str/M&E) on‑site; reviewdrawings for clashes/omissions, consolidate comments
· Track daily and weekly progress of construction activities against theprogramme, identifying delays, incomplete works, or deviations
· Support quality control by identifying defects, notifying contractors,coordinating rectifications, and tracking closure.
· Coordinate collection and verification of as‑built drawings, O&Mmanuals, asset tags, training records, and warranty schedules.
· Assist the PM team with ad hoc tasks andproject‑related administrative duties as assigned.

Job Requirements
Education & Certification
· Tertiary Degree in a Construction/Building/Project Management/Engineeringrelated field.

Experience
· Minimum 3 to 5 years working experience in the field of Project Managementwith experience working on major fit-out, A & A building projects.
#Other Prerequisites
· Experience in the Hospitality field and/or live working environment ispreferred.
· Sound knowledge of Project Management procedures.
· Strong communication skills, as well as the ability to visualize issuesand communicate them to others.
· Outstanding organization, coordination and leadership skills – ability tocoordinate groups of Consultants/ Contractors.
· Ability to work in a team environment.
