Summary

The Senior Project Manager at Alpha Video & Audio leads complex broadcast systems design and installation projects end to end — planning, budgeting, procurement, construction coordination, commissioning, and client handoff — working with engineers, subcontractors, and clients. The role requires advanced Microsoft Excel/M365 skills and experience with Waterfall and Agile methods.

Position Summary

The Senior Project Manager is responsible for the successful planning, execution, financial management, and closeout of complex broadcast systems design and installation projects. This role leads projects from initial planning and design coordination through procurement, construction, installation, system integration, commissioning, and final client handoff.

The ideal candidate brings a strong background in construction project management, combined with experience managing complex technology, broadcast, audiovisual, or systems-integration projects. The Senior Project Manager must be highly organized, financially disciplined, analytical, and capable of managing multiple stakeholders, subcontractors, vendors, engineering teams, installation teams, and clients throughout the project lifecycle.

This position requires advanced proficiency with the Microsoft 365 environment, particularly Microsoft Excel, and the ability to use technology and data to effectively manage project schedules, budgets, labor, procurement, forecasting, change orders, risks, and project performance. Experience managing projects using both Waterfall and Agile project management methodologies is highly desirable. Experience delivering projects in stadiums, casinos, higher education institutions, corporate campuses, government facilities, or similarly complex environments is also highly valued.

Core Responsibilities

Project Planning & Execution

  • Lead complex broadcast system design and installation projects from project award through final completion and client acceptance.
  • Develop comprehensive project execution plans, schedules, budgets, resource plans, procurement strategies, and project milestones.
  • Coordinate engineering, design, procurement, construction, installation, programming, commissioning, and project closeout activities.
  • Establish clear project objectives, deliverables, responsibilities, timelines, and success criteria.
  • Manage project activities in accordance with established processes, contractual requirements, safety expectations, and quality standards.
  • Identify project risks and develop mitigation and contingency plans.
  • Proactively identify potential schedule, cost, resource, scope, and quality issues before they impact the project.

Construction Project Management

  • Apply construction project management principles to complex technology and broadcast installations.
  • Coordinate activities with general contractors, construction managers, architects, engineers, owners' representatives, subcontractors, and other trades.
  • Understand and manage project dependencies involving construction schedules, site readiness, infrastructure, electrical, structural, network, cabling, and other building systems.
  • Participate in construction meetings, site walks, coordination meetings, and project progress reviews.
  • Monitor site readiness and ensure project requirements are coordinated with construction activities and other trades.
  • Manage installation sequencing and coordinate technology installation activities within the overall construction schedule.

Project Financial Management

  • Develop, maintain, and manage project budgets and financial forecasts.
  • Monitor project costs, labor utilization, material costs, subcontractor costs, committed costs, and projected costs to complete.
  • Analyze project financial performance and identify trends or variances requiring corrective action.
  • Manage project billing, invoicing, purchase orders, commitments, and financial reporting.
  • Maintain accurate project forecasts and provide regular financial updates to leadership.
  • Identify opportunities to improve project profitability while maintaining scope, schedule, quality, and customer expectations.
  • Manage change orders, including identification, documentation, pricing, negotiation, approval, and implementation.

Scheduling & Resource Management

  • Develop and maintain detailed project schedules using appropriate project management tools.
  • Coordinate internal labor resources, field technicians, engineers, programmers, designers, vendors, and subcontractors.
  • Monitor planned versus actual labor and proactively address resource constraints.
  • Track project milestones, critical-path activities, dependencies, and schedule risks.
  • Coordinate multiple projects and competing priorities while maintaining appropriate levels of communication and control.

Broadcast & Systems Integration

  • Partner closely with broadcast system designers, engineers, field installation teams, programmers, and technical specialists.
  • Develop a working understanding of broadcast, AV, video, audio, control, networking, infrastructure, and systems-integration environments.
  • Coordinate the transition from system design and engineering into procurement, construction, installation, programming, testing, commissioning, and turnover.
  • Ensure project execution aligns with approved system designs, drawings, specifications, equipment requirements, and client expectations.
  • Facilitate resolution of technical, construction, procurement, and installation issues in collaboration with subject matter experts.
  • Maintain clear documentation throughout the project lifecycle.

Client & Stakeholder Management

  • Serve as a primary point of contact for clients and key project stakeholders.
  • Establish strong relationships with customers, general contractors, architects, consultants, owners' representatives, vendors, subcontractors, and internal teams.
  • Lead project meetings and provide clear, concise status reporting.
  • Communicate project financials, schedule performance, risks, issues, changes, and required decisions.
  • Set and manage client expectations while maintaining accountability for project commitments.
  • Resolve conflicts and facilitate effective decision-making among project stakeholders.

Microsoft 365 & Data Management

  • Leverage the Microsoft 365 environment to manage, analyze, communicate, and report project information.
  • Demonstrate advanced proficiency in Microsoft Excel, including the ability to develop and maintain complex project management tools and reports.
  • Utilize Excel for project budgeting, forecasting, labor tracking, resource planning, cost analysis, earned-value or variance analysis, change-order tracking, and project reporting.
  • Develop dashboards, schedules, trackers, and other analytical tools that provide leadership with meaningful project insight.
  • Utilize Microsoft Teams, SharePoint, Outlook, Word, PowerPoint, and other Microsoft 365 applications to facilitate project collaboration and documentation.
  • Maintain organized, accurate, and accessible project documentation.

Project Methodology & Continuous Improvement

  • Utilize appropriate project management methodologies based on project complexity, client requirements, and project environment.
  • Apply Waterfall project management principles where sequential design, procurement, construction, installation, and commissioning activities require structured phase management.
  • Apply Agile methodologies where iterative development, collaboration, rapid feedback, or evolving requirements are appropriate.
  • Continuously evaluate project management processes and identify opportunities to improve efficiency, communication, quality, and profitability.
  • Share lessons learned and contribute to the development and improvement of project management standards and best practices.

  • Lead project commissioning, punch-list resolution, documentation, training, and client acceptance activities.
  • Ensure all contractual deliverables and project documentation are completed.
