The Real Estate Board invites applications from suitably qualified persons to fill the following post that is to be assigned to the upcoming Real Estate Authority of Jamaica (REAJ):
Senior Secretary (Level 4)
Vacant Post – Three-year contract
Salary Range: $1,711,060 – $2,301,185 per annum
Job Summary
Under the general direction of the Senior Director/Principal, Real Estate Training Institute (RETI), the Senior Secretary provides comprehensive administrative and secretarial support to facilitate the efficient and effective management of the Senior Director/Principal’s Office.
Key Responsibilities
Technical/Professional Responsibilities
- Work closely with the Senior Director/Principal to keep him/her well informed of upcoming commitments and schedules and follow up as appropriate.
- Process all correspondence addressed to the Senior Director/Principal or unit and route correspondence and documents as appropriate to allow for the efficient operation of the branch.
- Research, prioritize, and follow up on incoming issues and concerns escalated to the Senior Director/Principal, including those of a complex, sensitive or confidential nature, and refer or follow up on responses as appropriate.
- Conduct online and offline research at the request of the Senior Director/Principal and other senior officers of the branch.
- Ensure that confidential files and records management systems, both electronic and hard copy, are established and maintained in accordance with established policies and generally accepted professional standards.
- Demonstrate professionalism, credibility and integrity in the performance of functions to enhance and maintain a positive and credible image of the office.
- Prepare RETI Committee Meeting Minutes and other meeting minutes.
- Track action items of the RETI branch.
Administrative Responsibilities
- Provide transcription, scheduling, and correspondence management.
- Reduce the volume of routine clerical work handled by the Senior Director/Principal.
- Manage the calendar/diaries, schedules and appointments on behalf of the Senior Director/Principal.
- Function as a liaison for smooth communication between the Senior Director/Principal’s Office and internal divisions/branches in a manner that serves to maintain credibility, trust and support with senior management and staff.
- Maintain office supplies for the branch.

Technical
- Proficiency in Microsoft Office Suite and other programme applications appropriate to assigned responsibilities
- Solid dictation and transcribing skills
- Good knowledge of statutes, legislation, regulations, policies and procedures administered by the REAJ
- Knowledge of office management and administrative procedures and practices
- Knowledge of the principles and practices of public administration
- Knowledge of research and statistical methods and techniques
- Ability to compose correspondence and reports
Minimum Education & Experience:
- Diploma/Associate degree in Business Administration
- Successful completion of the Certified Administrative Professional Course or Secretarial Qualifying Examination
- Proficiency in Microsoft Office Suite
- Three (3) to Five (5) years administrative experience.
