Senior Specialist, Business Operation Support
Job purpose
Supports employee relations activities by ensuring the effective implementation of HR policies and procedures, handling employee relations matters, coordinating performance and separation processes, and contributing to a positive and compliant work environment.
Key accountability areas
Termination and resignation processes:
Handle termination and resignation processes, ensuring all required documentation is completed accurately and in a timely manner.
Conduct exit interviews and coordinate with relevant stakeholders to support smooth and efficient process completion.
HR consultancy and policy implementation:
Partner with departments to support the interpretation and application of ER/HR policies and procedures.
Provide guidance on matters related to termination/resignation, restructuring initiatives, performance management, employee allowances, and HR best practices.
Re-hiring and problem resolution:
Support re-hiring processes through issue identification, coordination, and communication with relevant parties.
Address employee grievances, bullying, and harassment cases while supporting the application of disciplinary procedures in line with company policies.
Employee relations and advisory:
Maintain effective relationships with employees to understand concerns, respond to complaints, and escalate critical issues when required.
Act as a key contact for HR-related matters for employees and stakeholders across the organization.
Performance management and evaluation:
Support timely evaluation processes for new hires and contribute to fair assessments and constructive feedback practices.
Coordinate annual performance management activities, including awareness sessions, calibration activities, and follow-up on timelines and deliverables.
Reporting and documentation:
Prepare and maintain turnover and employee relations reports related to hiring, separations, transfers, and re-hiring activities.
Maintain and update ER documentation, including exit interviews, complaints, and termination/resignation records.
Promotions and internal hiring:
Provide support and recommendations regarding employee promotions for C3 grade and below.
Coordinate and support internal hiring activities and related employee matters.
Employee relations (ER) activities:
Participate in ER investigations and support documentation related to disciplinary actions.
Contribute to ER projects and initiatives across the organization.
Collect employee training needs and coordinate with the HRBP Manager to support training plan development.

Perform the planned activities to meet the operational and development targets as per delivery schedules.
Utilize resources effectively to achieve objectives within efficient cost and time.
Provide a periodic report formatted by detailing the deviation and execution of planned tasks.

Solve any related problems that arise and escalate any complex operational issues.

Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.
Business process improvements:
Coordinate well-defined written systems, policies, procedures, and seek automation opportunities as much as possible.
Compliance:
Comply with related policy and procedures and work instructions.
Health, safety and environment:
Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.
Academic qualification
Bachelor degree in Business Administration or any relevant field.
