Description

Senior Veterinary Receptionist

Brooklyn Heights Veterinary Hospital — Brooklyn, NY

Starting Pay: $22.00 per hour

Brooklyn Heights Veterinary Hospital is seeking an experienced, organized, and proactive Senior Veterinary Receptionist to support our busy, high-volume general veterinary practice.

We are looking for someone who understands that excellent veterinary reception work involves much more than answering phones and scheduling appointments. The right candidate is an effective communicator, an accurate note-taker, a strong organizer, and someone who follows through on responsibilities without needing reminders.

Previous experience in a customer-facing clinical environment is required. Candidates must have professional experience in a veterinary hospital, medical office, dental practice, healthcare facility, or comparable clinical setting. General customer service experience outside a clinical environment, by itself, may meet this requirement.

Please note: This position requires scheduling flexibility, including some morning shifts, some evening shifts, and some holiday work.

What You'll Do

As our Senior Veterinary Receptionist, you will help keep front desk operations organized and ensure communication between clients, doctors, technicians, specialists, and other team members remains clear and reliable.

Responsibilities include:

  • Welcoming clients and providing professional, compassionate customer service.

  • Answering phone calls and emails, managing inquiries, and scheduling appointments.

  • Coordinating client visits, follow-ups, records, and administrative requests.

  • Communicating clearly and directly with veterinarians, technicians, assistants, management, and coworkers.

  • Taking accurate notes and documenting messages, instructions, client concerns, and outstanding requests.

  • Maintaining organized schedules, records, reminders, checklists, and task lists.

  • Tracking tasks through completion or ensuring they are appropriately documented and handed off.

  • Following up on missing information, incomplete requests, upcoming deadlines, and unresolved issues.

  • Coordinating visiting specialists and diagnostic services, including ultrasounds and echocardiograms.

  • Preparing and organizing records and administrative materials needed for specialist appointments.

  • Assisting with international health certificates and pet travel documentation, including tracking paperwork, requirements, and deadlines.

  • Processing payments and supporting routine front desk operations.

  • Helping train and support reception team members and maintaining consistent administrative procedures.

  • Identifying problems, asking questions when clarification is needed, and communicating delays or concerns promptly.

Required Qualifications
  • Previous experience in a customer-facing clinical environment is strongly preferred. Applicants should have direct professional experience interacting with clients or patients in a veterinary, medical, dental, or comparable healthcare setting.

  • Strong verbal and written communication skills.

  • Excellent organizational skills and attention to detail.

  • Proven ability to take accurate notes and maintain reliable documentation.

  • Consistent follow-through on tasks, requests, and deadlines.

  • Ability to communicate directly and professionally with doctors, coworkers, clients, and management.

  • Ability to manage multiple priorities in a busy, high-volume clinical environment.

  • Dependability, accountability, and a proactive approach to problem-solving.

  • Comfort with computers, scheduling systems, electronic records, and email.

  • Professional handling of confidential client and patient information.

  • Availability to work some morning shifts, some evening shifts, and some holidays as required.

Please note: Candidates whose only customer service experience is in retail, hospitality, or another non-clinical setting will not meet the minimum experience requirement.

Preferred Experience
  • Previous veterinary reception or veterinary hospital experience.

  • Experience working with veterinarians, technicians, nurses, or other clinical professionals.

  • Familiarity with medical records, appointment coordination, and clinical administrative workflows.

  • Experience coordinating outside specialists, diagnostic appointments, or time-sensitive paperwork.

  • Experience mentoring coworkers or supporting front desk operations in a senior role.

What Success Looks Like

We need someone who:

  • Keeps information and responsibilities organized.

  • Writes things down accurately instead of relying on memory.

  • Follows up without waiting to be reminded.

  • Communicates directly when information is missing, a task is delayed, or a problem needs attention.

  • Confirms important details rather than making assumptions.

  • Takes responsibility for assigned work and ensures appropriate handoffs.

  • Remains professional, calm, and helpful during busy periods.

  • Understands that reliable administrative work is essential to the client experience and the medical team's efficiency.

Compensation and Schedule
  • Starting pay: $22.00 per hour.

  • Flexible scheduling is required, including some mornings, some evenings, and some holidays.

  • Specific shift assignments and scheduling expectations will be discussed during the hiring process.
