Senior Workplace Technology Project Manager

Summary

A senior project manager role in San Diego overseeing workplace-technology installations end to end: handling procurement and COIs/permits, running kickoff and OAC meetings, managing in-flight projects (schedules, budgets, subcontractors, RFIs, change orders, NetSuite updates, network connectivity checks), and driving closeout with testing, invoicing, and warranty documentation.

Duties & Responsibilities

Design & Procurement

  • Initiate legal compliance by obtaining Certificates of Insurance (COI) and necessary permits.
  • Set engineering deliverables and establish timelines for project milestones.
  • Ensure project tracking, maintain updated project lists, and adhere to schedules for progress reporting.

InFlight Projects

  • Conduct an internal kickoff meeting within two weeks of project initiation to align internal strategies.
  • Arrange a client kickoff meeting within two weeks of project start for external stakeholder alignment.
  • Verify site conditions and coordinate internal meetings for operational readiness.
  • Develop specific milestones and microschedules to guide project phases effectively.
  • Manage pick tickets and delivery tickets to facilitate resource movements.
  • Oversee progress billing, equipment receipt, deliveries, and invoicing for financial transactions.
  • Capture site photos before commencing work to document initial conditions.
  • Perform onsite inventory checks to confirm the availability of required resources.
  • Maintain project milestones and microschedules to ensure adherence to timelines.
  • Conduct routine check-ins with customers or other stakeholders for ongoing engagement.
  • Attend and participate in Owner-Architect-Contractor (OAC) meetings for collaborative decision-making.
  • Monitor network connectivity (NETWORK LIVE) to ensure uninterrupted site operations.
  • Process change orders promptly to manage scope adjustments efficiently.
  • Update project schedules, supersheets, and NetSuite for systemic updates and accuracy.
  • Address Requests for Information (RFIs) promptly to clarify project queries.
  • Update scheduling regularly to accommodate dynamic timeline adjustments.
  • Maintain constant communication channels for regular project updates and information sharing.
  • Manage subcontractors effectively to coordinate external collaborators' contributions.
  • Place additional orders as necessary to facilitate supplementary procurements.
  • Process Return Merchandise Authorizations (RMAs) for handling return authorizations.
  • Monitor labor hours and Gross Profit (GP) for tracking workforce efficiency and profitability.
  • Document completed work with As-Builts to ensure accurate project documentation.
  • Encourage and facilitate frequent and precise forecasting by the project management team to enhance planning and execution.
  • Ensure that project schedules and project lists are accurately filled out in advance and maintain accuracy throughout the project lifecycle.
  • Validate the accuracy of all entries on the project schedule, verifying that each task and milestone are correctly documented and accounted for.
  • Act as the primary point of escalation and a key source of knowledge for the project management team, providing guidance and support where needed and as identified.

Closeout

  • Schedule testing and inspections to ensure compliance with quality standards.
  • Compile warranty information for documenting product guarantees.
  • Share test and inspection results for transparency and quality assurance outcomes.
  • Finalize invoicing, cost reporting, and internal closeout processes for financial matters.
  • Complete patchbay matrix and labeling to meet technical specifications.
  • Resolve any outstanding issues with late RMAs promptly.
  • Schedule system training sessions to empower operational users effectively.
  • Hand off closeout documentation to conclude administrative tasks.
  • Coordinate lessons learned on applicable projects and disseminate the information to the team to educate on best practices.

Service

  • Ensure a smooth transition with a warm handoff to internal service teams for seamless operations.

What Are Your Responsibilities?

  • Act as the main point of contact between clients and internal technical teams.
  • Develop and monitor project schedules, budgets, technical requirements, and documentation from kickoff through closeout.
  • Keep clients informed with timely updates, clear expectations, and proactive issue
  • resolution throughout each phase of the project.
  • Provide direction to project teams by assigning responsibilities, supporting training, monitoring performance, and removing obstacles.
  • Coordinate national account work to ensure consistent planning, communication, and
  • execution across locations.
  • Manage several active job sites in different markets while maintaining visibility into progress, staffing, risks, and next steps.
  • Partner with AV, structured cabling, security, and access control teams to complete
  • installation, programming, testing, commissioning, and final punch-list activities.
  • Oversee structured cabling requirements, including pathways, copper and fiber infrastructure, equipment racks, labeling, certification testing, closeout records, and compliance with applicable standards and project requirements.
  • Coordinate security and access control work, including device placement, door
  • hardware interfaces, cabling, head-end equipment, system programming, functional testing, commissioning, and client handoff.
  • Work closely with clients, general contractors, electrical contractors, IT teams,
  • security representatives, and authorities having jurisdiction to address field conditions and keep all technology scopes aligned.
  • Take on additional responsibilities as needed to help projects stay on track and achieve successful outcomes.
