Job Summary
Coordinate and support service and maintenance operations by scheduling appointments, tracking service progress, preparing documentation, and collaborating with teams to ensure timely and effective service delivery.
Responsibilities
- Coordinate daily and monthly service and maintenance schedules to ensure timely execution
- Arrange service appointments with customers, Technicians, Service Leads, and internal teams to facilitate smooth operations
- Monitor and follow up on outstanding service and maintenance cases to ensure resolution
- Track parts and equipment deliveries, repairs, replacements, and servicing progress for accurate status updates
- Prepare service quotations, Job Completion Delivery Orders (DOs), service reports, and related documentation to support service processes
- Maintain accurate records of equipment, service, and maintenance activities for compliance and reference
- Provide administrative and coordination support to the Service and Operations Teams to enhance workflow efficiency
- Handle customer follow-ups and assist in resolving service-related issues to maintain customer satisfaction
- Coordinate with Maintenance, Operations, Service, and other departments to ensure timely service delivery and collaboration
- Assist with technical support requests and perform other ad-hoc duties as assigned to support team needs
Required competencies and certifications
- Minimum ITE Certificate / Diploma in Business Administration, Engineering, Operations, Logistics, or a related discipline
- Minimum 5 years of relevant experience in Lift industry, with at least 2–3 years in a supervisory or managerial capacity.
- Proficient in Microsoft Office, especially Excel, Word, and Outlook, to prepare and manage service documentation effectively
- Strong follow-up and organizational skills, with the ability to manage multiple service cases and deadlines.
- Good administrative and documentation skills, including preparation of quotations, service reports, Delivery Orders (DOs), and job completion documents.
- Able to work independently and as part of a team in a fast-paced environment.
- Able to prioritize tasks, meet deadlines, and handle urgent or ad-hoc service requests.
- Basic understanding of equipment servicing, maintenance, or technical support is an advantage
