Service Operations Specialist
- Achieve and maintain a revenue forecast accuracy vs. budget on a monthly basis, consolidating inputs across service contracts, warranty, training, site support and product-team data
- Monitor and analyze revenue gaps and drops each period – quantify the variance, determine root causes and implement corrective actions to minimize recurrence
- Track revenue recognition across all streams (monthly, quarterly, biannual and annual) and ensure proper accounting alignment
- Maintain a minimum monthly gross profit margin, consistently identifying and addressing deviations through margin-improvement plans
- Participate actively in P&L management and review discussions, providing analysis of cost drivers, pricing impact and margin trends
- Continuously review and optimize shipping cost components to achieve a year-over-year reduction
- Streamline shipping processes to reduce order-to-delivery cycle time and raise on-time delivery, working closely with logistics partners
- Actively manage and reduce Slow-Moving / Idle (SMI) inventory each quarter through analysis and inventory rationalization.
- Develop balanced inventory plans that minimize stock growth while preventing stock-outs, maintaining safety-stock levels and reorder points aligned to demand forecasts and cycle-count discipline to achieve the targeted hit rate.
- Maintain accurate, up-to-date actual shipping data per contract with zero discrepancies.
- Keep an accurate record of monthly revenue recognition from service contracts to ensure correct accounting and reporting.
- Achieve 100% monthly execution of the service-contract revenue budget, ensuring no shortfall in recognized revenue.
- Maintain a follow-up schedule ensuring 100% payment collection before the start of each quarter for active service contracts, training and all service sales elements, escalate overdue accounts to management for potential account blocking to mitigate financial risk
- Enforce the training payment policy
- Manage order administration – OA / PI / PO processing – to ensure accurate, timely handling and documentation with zero errors
- Manage import/export shipments including : invoice confirmation, coordinating with logistics, finance and customs teams for smooth, compliant flow of goods
- Ensure timely and accurate inventory reconciliation and management, including destruction processes carried out strictly per procedure.
- Prevent discrepancies and maintain regulatory and audit compliance across inventory records
- Develop and maintain a comprehensive Service Operations dashboard giving real-time visibility of revenue vs. budget, gaps and variance, backorders, gross-profit trends, key issues and improvement actions
- Own and analyze operational KPIs, set benchmarks and drive sustained performance; act as a change agent for process improvement and operational best practice
- Bachelor’s degree in Business, Supply Chain, Finance, Engineering or a related discipline
- 5+ years in service operations, commercial operations, supply chain or order-to-cash roles – preferably within medical devices, imaging or healthcare technology
- Demonstrated understanding of revenue recognition, P&L, gross-margin management and service-contract administration
- Hands-on experience with import/export documentation, and logistics coordination
- Advanced data consolidation, KPI reporting and variance analysis.
- Working knowledge of ERP systems (e.g. SAP) and CRM platforms; comfort with inventory and order-management modules
- Strong financial acumen – forecasting, margin and cost analysis, budget tracking
- Familiarity with trade documentation, Incoterms and LC processing
- Analytical and detail-oriented, with disciplined record accuracy and compliance
- Proactive problem-solver with a continuous-improvement mindset
- Strong cross-functional collaboration and stakeholder-management skills
- Sound commercial judgement; able to work under deadline pressure with minimal supervision
