Tyler Run Auto Sales is looking for a Service & Parts Advisor to help lead the day-to-day flow of our Service Department while also handling essential Parts responsibilities. This is a hands-on, multi-faceted role for someone who can balance customer service, technician coordination, parts ordering, scheduling, and workflow management.

We're looking for someone who is proactive, detail-oriented, and confident managing a busy schedule while keeping customers, technicians, and the department working together.

Tyler Run Auto Sales is part of the Jack Giambalvo Family of Dealerships, a family-owned automotive group serving the York/Hanover communities. We believe in building lasting relationships through integrity, teamwork, accountability, and continuous improvement.

Our vision is to be BEST OF CLASS, and we believe our people make the difference!

What You'll Do:
Service Operations, Scheduling & Workflow

Coordinate the daily operations and workflow of the Service Department, helping ensure efficient use of technician time and resources.

Manage service appointments, scheduling, workflow priorities, and promised completion times.

Dispatch and coordinate repair orders with technicians based on workload, availability, parts status, and scheduling commitments.

Monitor the progress of open repair orders throughout the day, proactively addressing delays, bottlenecks, and changing priorities.

Establish realistic time promises and communicate schedule adjustments or delays to customers.

Balance multiple priorities while keeping the department organized, productive, and running smoothly.

Support staffing coordination and day-to-day technician workflow.

Customer Service & Repair Order Management

Greet and communicate with service customers to understand vehicle concerns and determine the nature of requested repairs.

Document accurate repair instructions and the primary reason for each customer visit on repair orders.

Prepare labor and parts estimates and obtain customer approval before proceeding with additional or unapproved work.

Obtain customer signatures and provide copies of repair orders as required.

Keep customers informed of repair progress, estimate changes, parts delays, and updated completion times.

Handle incoming calls, service inquiries, appointment requests, and questions regarding vehicles in process.

Review completed invoices against original repair orders for accuracy and completeness.

Help ensure quality control and customer satisfaction while reducing comebacks.

Parts Management:
Order parts, supplies, and materials needed to support service operations.

Coordinate parts availability and ordering with repair schedules and technician needs.

Monitor parts-related delays and communicate updates to customers and the service team.

Help maintain organized parts processes and support efficient inventory and resource management.

Teamwork, Safety & Compliance

Work collaboratively with technicians, management, and dealership personnel to maintain a productive, professional environment.

Test-drive vehicles as needed and as appropriate.

Help maintain shop safety, cleanliness, and upkeep.

Follow applicable federal, state, and local regulations, including safety requirements and hazardous waste disposal procedures.

What We're Looking For:
High school diploma or equivalent.

Strong organizational, time management, scheduling, and prioritization skills.

Ability to manage multiple tasks, changing schedules, and competing deadlines without losing sight of the details.

Strong communication and customer service skills.

General knowledge of automotive mechanical operations.

Prior automotive service, repair, service advising, or parts sales experience preferred.

Prior scheduling, dispatching, workflow coordination, or leadership experience is a plus.

Comfortable using computers and willing to learn dealership systems and processes.

Valid driver's license and good driving record required.

A proactive, dependable team player who takes ownership and follows through.

The ideal candidate: Someone who enjoys being the go-to person, anticipates what needs to happen next, and can keep the Service and Parts sides working together efficiently.
