SharePoint Online & Power Automate Consultant (h/f)

Summary

Consultant redesigns a global clinical team’s SharePoint Online site and builds Power Automate workflows for approvals, scheduling, and notifications, then trains admins.

Are you an experienced SharePoint Online consultant with strong Power Automate workflow expertise?

emagine has an opportunity for you to drive a full collaboration platform revamp for a global clinical operations function with an international team.

This is a SharePoint Online and Power Automate consultancy role supporting a global clinical development business office. The environment coordinates a structured review committee with multiple stakeholder tiers, strict compliance requirements, and recurring operational workflows. The current SharePoint setup is outdated and manual. Your job is to redesign it: new homepage and navigation architecture, structured document repositories, metadata configuration, and automated workflows built in Power Automate to replace manual meeting scheduling, approvals, folder creation, and notifications. You will run discovery workshops, design the solution, build it, then train the internal administration team before handing it over fully.

MAIN RESPONSIBILITIES

  • Lead kick-off workshops to review existing assets, governance principles, and validate the technical approach

  • Design SharePoint homepage, navigation architecture, and information structure

  • Configure document repositories and metadata frameworks aligned to governance requirements

  • Build Power Automate workflows covering meeting submission and approval, slot assignment, folder creation, participant notifications, and periodic sync checks

  • Configure Outlook and SharePoint connectors within the client's Microsoft 365 environment

  • Deliver structured administrator training

  • Run a final validation workshop to demonstrate delivered workflows and hand over administration

WHAT YOU GET

A self-contained, high-visibility platform rebuild where you own the architecture end to end, from workshop to handover, with direct impact on how a global compliance-driven team operates day to day.

KEY REQUIREMENTS

  • Proven hands-on experience with SharePoint Online architecture, including homepage design, navigation, and document repository structuring

  • Strong metadata configuration and information architecture experience

  • Solid Power Automate experience building approval, notification, and folder-management workflows

  • Experience configuring governance and tiered permission structures (administrator, contributor, viewer)

  • Experience configuring SharePoint and Outlook connectors

  • Track record running discovery and alignment workshops with business stakeholders

  • Experience delivering structured administrator training and producing supporting documentation

  • Comfortable working within a complex, multi-stakeholder, compliance-driven organisation

NICE TO HAVE

  • Experience in a regulated or clinical/pharma environment

  • Familiarity with document retention and records management policies

  • Experience migrating from legacy or on-premise SharePoint to SharePoint Online

OTHER DETAILS

Freelance/contract engagement, approximately 4 months, starting September through end of January.

Fully remote, open to consultants based in Western Europe or US Mid-to-East Coast time zones for overlap with the client's business hours.

Senior-level engagement requiring autonomous delivery across design, build, and training phases.
