Shipping & Receiving Clerk II
Under the supervision of the Warehouse Operations Manager, the Museum Store Shipping & Receiving Clerk II is responsible for shipping, receiving, and providing direct support to warehouse operations on and off site. The delivery of effective customer and vendor support provided by this role help us to achieve monthly and annual sales goals set forth by the Museum Store. Shipping & Receiving Clerks rely heavily on interdepartmental communication with buying and sales floor team. This position directly impacts Museum Store sales by maintaining enhanced levels of shipping and receiving of all store merchandise in addition to support of web store order fulfilment and our Collections Center warehouse.
Responsibilities & Duties
- Verify purchase order data, process cost variances and price changes, complete data entry and invoice resolution using TeamWork inventory management system.
- Process all incoming shipments, including preparing necessary shipping documents and other related paperwork; packing and unpacking of shipments; labeling of merchandise; accurate receipt of goods; and maintaining stock and shipping areas.
- Maintain purchase order records and files of receivable paperwork, including digital record keeping accessible to finance and accounting. Reconcile discrepancies in vendor information and maintain correspondence with vendors as needed.
- Prepare invoices for payment, request, and track vendor shipments for return orders on merchandise incorrectly sent or damaged.
- Prepare labels and assist in coordinating the movement of merchandise from the stockroom to the sales floor including selectively staging new products for the visual merchandiser. Serve as support to the Warehouse Inventory Associate and Shipper/Receivers; use of handheld radios as needed.
- Cycle count coordination. Assist with requested cycle counts to ensure inventory accuracy.
- Assist with annual physical inventory counts.
- Off-site warehouse support related to inventory transfers, supply, and fixture moves. Includes completion of scheduled transfers and coordination with the loading dock for delivery.
- Process wholesale orders, in-store pickup and RTVs as directed.
- Prepare for safe transport all domestic and foreign shipments.
- Advanced level shipping, including: create and track inbound/outbound overseas shipments, assist with customs related inquiries, processing of wholesale orders to off-site vendors, assist buyers to generate quotes and maintain accurate records
- Track all orders shipped and resolve all related problems.
- Actively rate shop for all shipping activities, verifying UPS/USPS/FEDEX and other shipping service orders including monitoring of shipping costs
- Prepare pallets for transfer and arrangement of trucking services.
- Weekly attendance of sales floor briefings on business performance and museum updates.
- In collaboration with the Accounting Assistant, track Accounts Payable receipts and vendor credits.
- Communicate all special shipping and receiving requirements as necessary to buyers and supervisors, including maintain shipping supplies.
- Maintain neat appearance of the store by organizing supplies, shelves, and displays, straightening merchandise.
- Communicate problems and suggestions to supervisors and buyers
- Perform other related duties as assigned.
Qualifications & Skills
- Some college coursework or BA degree preferred.
- Minimum of two (2) years of experience in book or other retail sales (or equivalent combination of training and education).
- Experience in the areas of warehousing, receiving, buying or shipping.
- Ability and willingness to work with the public (vendors, buyers, publishers, customers etc.). Must be a team player, and possess excellent interpersonal skills with the ability to resolve problems in a constructive manner.
- Experience with computerized inventory and shipping platforms.
- Ability to proficiently utilize most recent versions of Microsoft Excel, Microsoft Word, Microsoft Teams, Shipstation, and UPS WorldShip computer applications.
- Ability to keep systems and files in an organized manner at all times. Knowledge of billing and bookkeeping methodology.
- Ability to type and handle a detailed digital filing system.
- Knowledge of postal rates, regulations, and ability to correctly handle forms and operate equipment. Knowledge of supply/purchasing systems to maintain supply inventories.
- Ability to meet deadlines and handle multiple projects simultaneously.
- Demonstrated punctuality and dependability. Ability to conduct constructive problem resolution.
- Ability to lift 50lbs repetitively.
- Experience operating a 16-foot medium sized box truck and valid California Driver’s License (Class C)
- Ability to drive and operate a forklift
