Job Summary
The Site Admin manages administrative and operational support across active project sites, including facilities such as prisons, hospitals, or airports. Working directly with Project Directors, Project Managers, and site teams, this position oversees project documentation, handles subcontractor claims and delivery orders, coordinates O&M manuals, and maintains WMS/site filing systems. Additionally, the Site Admin coordinates office supplies, monitors project schedules and cash flow documentation, and serves as a central administrative liaison between project personnel, internal IT, and external vendors to ensure seamless site operations.
CORE RESPONSIBILITIES
Project Documentation & Administrative Support
Provide operational administrative support to project executives, site management, and project teams.
Transcribe, record, and maintain electronic and paper filing systems for project correspondence, site records, and drawings in compliance with corporate standards.
Distribute, track, and archive project documentation, punch lists, and drawing revisions to subcontractors and clients as required.
Coordinate closeout procedures, including the preparation and compilation of Operations & Maintenance (O&M) manuals, certificates, and delivery orders.
Subcontractor & Commercial Coordination
Follow up with site subcontractors on paperwork, progress claims, delivery receipts, and related documentation.
Assist Project Managers and Project Directors with project documentation needs, including progress claims to clients, project insurance forms, cash flow schedules, and departmental objectives.
Verify and track purchase orders, invoices, and payment requests to support financial accuracy.
Site Operations & Office Management
Set up and maintain tidy, organized site office spaces and file binders.
Order and manage inventory for office supplies, personal resources, and site equipment.
Participate in project progress meetings, take minutes, and assist in implementing new operational procedures.
Perform ad-hoc administrative and site duties as assigned by project leadership.
REQUIREMENTS & QUALIFICATIONS
Experience: Minimum 1 to 2 years of relevant administrative experience within the construction or built environment industry is required.
