Position Overview
The Site Admin & Safety Coordinator plays a dual-focused role crucial to day-to-day operations. This position combines administrative management (scheduling, documentation, reporting) with on-site safety enforcement (OSHA compliance, inspections, incident investigations). You will serve as a key point of contact for tracking site performance, coordinating with subcontractors, and maintaining a robust, zero-injury safety culture across all facility services.
Key Responsibilities
Environmental, Health & Safety (EHS) Coordination
  • Enforce Safety Standards: Promote a safety-first culture by ensuring full compliance with DFM Solutions, OSHA, and customer-specific regulations. [1, 2]
  • Conduct Inspections: Execute routine safety observations, audits, and layered process inspections across manufacturing, janitorial, and high-risk operational areas (e.g., paint shop booth cleaning).
  • Support Daily Meetings: Deliver and assist with daily safety meetings, huddles, and "toolbox talks".
  • Incident Management: Lead or support root-cause analysis for any near misses, injuries, or accidents, ensuring accurate logging and corrective actions are effectively implemented.
  • Subcontractor Oversight: Audit subcontractor work practices to ensure their teams comply with contractual safety rules and site regulations.
Site Administration & Operational Support
  • Documentation & Data Management: Maintain precise operational records, including incident tracking, compliance logs, staffing reports, and required customer documentation.
  • Time & Attendance: Assist in monitoring team metrics, tracking hours, and organizing training matrices to ensure proper certifications are up-to-date.
  • Procurement & Inventory: Monitor inventory levels of safety gear (PPE), office supplies, and tools, ensuring the team is fully equipped.
  • Communication Link: Act as an administrative liaison between site management, subcontractors, corporate safety leadership, and customer representatives.
Qualifications & Skills
  • Education: Associate or Bachelor’s degree in Occupational Health & Safety, Business Administration, or a related field (or equivalent relevant field experience).
  • Experience: 2–5 years of experience in a safety coordination, administrative support, or facility services environment (manufacturing or automotive sectors preferred).
  • Certifications: OSHA 10-hour or 30-hour General Industry/Construction certification strongly preferred.
  • Technical Skills: Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with digital Safety Management Systems.
  • Soft Skills: Excellent conflict resolution skills, detail-oriented, and comfortable communicating across union, subcontractor, and corporate leadership levels.
