Role scope
To play a key role in EPC project execution by managing the development, coordination, and delivery of Spare Parts Data Packages (SPDP) from suppliers and contractors.
The role is responsible for ensuring all spare parts data, documentation, and recommendations are complete, accurate, compliant, and delivered on time, supporting project commissioning, startup, and operations readiness. This includes coordinating across engineering, procurement, vendors, and client teams to ensure alignment with project specifications, contractual requirements, and maintenance strategies.
The position ensures that spare parts data packages are structured, validated, and integrated into project systems, enabling efficient handover to operations and long-term asset reliability.
Details / responsibilities
Spare Parts Data Package Management:
- Lead the planning, tracking, and delivery of Spare Parts Data Packages (SPDP)
- Define spare parts requirements with engineering and reliability teams
- Ensure completeness and BOM alignment
- Ensure cataloguing aligns with client existing ERP system
Procurement Integration & Strategy:
- Support procurement strategies aligned with project requirements
- Collaborate with stakeholders to align plans and schedules
- Contribute to sourcing and cost optimization initiatives
Vendor & Supplier Management:
- Evaluate and coordinate suppliers for timely submissions
- Support bid evaluation and negotiations
- Monitor vendor performance and resolve issues
- Review documentation for compliance
- Resolve discrepancies between engineering and vendor data
- Ensure alignment with asset registers and tagging
Documentation, Data Quality & Systems:
- Validate spare parts lists, PSPL, drawings, and OEM manuals
- Ensure data accuracy in ERP and document systems
- Standardize templates across suppliers
Project Coordination & Interface Management:
- Act as focal point across engineering, procurement, vendors and client
- Coordinate kick-off meetings and submission timelines
- Support spare parts philosophy and stocking strategies
- Integrate data into CMMS and asset systems
Schedule, Cost & Risk Management:
- Track progress against schedules
- Identify and mitigate risks
- Support cost and budget monitoring
- Provide status updates to stakeholders
Compliance & Governance:
- Ensure compliance with contracts and company standards
- Support audits and maintain traceability
Reporting & Continuous Improvement:
- Provide status updates and reports
- Improve processes and implement lessons learned
Qualifications
Bachelor’s degree in Engineering, Supply Chain, or related field
- 8–10 years’ experience in EPC projects with spare parts or data coordination exposure
- Strong understanding of equipment lifecycle, BOM structures, and EPC workflow
- Experience with ORACLE , SAP, CMMS, and document management systems
