Role Summary

Our client who is a reputable social service agency is seeking a highly capable and responsive Personal Assistant / Special Assistant to the CEO/CSO to provide close executive support.

This is a trusted and fast-paced role requiring someone who is sharp, articulate, organised and quick on their feet.

The successful candidate will support the CEO/CSO in managing meetings, priorities, stakeholder engagements, action plans and follow-ups, including work involving ministry partners such as MSF, social service agencies, and external stakeholders.

Responsibilities:

  • Supporting the CEO and C-suite on daily priorities, meeting coordination and follow-ups.
  • Managing Exco Office operations, including schedules, meeting materials, presentation decks and post-meeting action tracking
  • Sitting in meetings, capturing key discussion points, tracking action items and ensuring timely follow-through.
  • Coordinating stakeholder engagements with government agencies, strategic partners and senior internal stakeholders.
  • Supporting leadership communications, internal announcements, townhalls and staff updates.
  • Assisting with strategic projects, grant submissions, reporting and project outcome tracking.

Ideal Candidate:

  • Experience in executive support, secretariat, project coordination, stakeholder management or corporate communications.
  • Strong communication, writing and interpersonal skills.
  • Comfortable working in a fast-paced, time-sensitive environment.
  • Able to engage confidently with senior leaders, government agencies and external partners.
  • Proactive, resourceful, highly organised and discreet
  • Effective report writing skills
  • Analytical ability & problem-solving skills to analyse information quickly and accurately, formulate decisions and make recommendation
  • Tertiary qualification in a relevant field (e.g. Business Administration, Public Policy, Communications) preferred
