Specialist, Facilities Support

JOB SUMMARY/PURPOSE

The Facilities Support Specialist is responsible for supporting the day-to-day operations and administrative functions of the Facilities Department to ensure the safety, functionality, and efficiency of the organization’s physical infrastructure. This role coordinates facility maintenance activities, ensures compliance with safety, health, and environmental regulations, and assists with vendor management, work order tracking, and space planning. The ideal candidate is detail-oriented, organized, and capable of working both independently and collaboratively to maintain a well-functioning work environment.

ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS

  • Ensure all facilities comply with federal, state, and local safety regulations, including conducting regular safety inspections and addressing any identified issues.
  • Work with the company’s environmental officer to monitor and manage environmental systems to ensure compliance with relevant regulations, including waste management and energy efficiency initiatives.
  • Coordinate with external vendors and contractors for specialized facilities services and projects, ensuring quality and cost-effectiveness.
  • Support the company’s efforts towards emergency response plans for facility-related incidents, including natural gas leaks, fires, and other emergencies.
  • Maintain accurate records of real estate property files, leases, inspections, and compliance reports.
  • Provide support for facility-related projects, including renovations, expansions, workspace reconfigurations, and relocations.
  • Overseeing daily building operations, including scheduling maintenance and coordinating with service providers.
  • Assisting in budget management, tracking expenses, and preparing cost estimates for repairs or upgrades.
  • Implementing energy-saving initiatives to reduce operational costs and promote sustainability.
  • Coordinating space planning and office moves to optimize facility usage.
  • Tracking and managing seating plans, floorplans, and other facilities data.
  • Work to implement company’s physical security processes and policies including access control, cameras and ID badging.
  • Coordinate service requests and track maintenance issues, ensuring timely resolution.
  • Monitor building systems and report issues with HVAC, plumbing, or electrical systems.
  • Stakeholder Relations-Communicating withal departments, handling inquiries, complaints, and assisting with planning & lease renewals.
  • Coordinating lease adherence, payment of rent, managing budgets, and assisting with financial reporting.
  • Maintaining records, preparing reports, and managing data in a database, power BI or other tools.

MINIMUM REQUIREMENTS

Minimum education required of the position

  • High school diploma or equivalent required; bachelor’s degree preferred.

Minimum experience required of the position

  • 2+ years of experience in facilities, property management or corporate real estate required
  • Strong proficiency in Microsoft Excel and PowerPoint is required.
  • Working knowledge of additional database and reporting tools such as Power BI and MS Access is preferred.
  • Knowledge of federal, state, and local regulations related to facility operations, safety, and environmental compliance.
  • Familiarity with facilities management systems (e.g., CMMS) and administrative processes related to vendor coordination, budgeting, space planning, and maintenance tracking.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines.
  • Effective written and verbal communication skills, including the ability to interact professionally with internal teams and external service providers.
  • Ability to analyze data, prepare reports, and contribute to the continuous improvement of facility operations and services

Minimum knowledge, skills and abilities preferred of the position

Any certificates, licenses, etc. required for the position

  • Certification in facilities management (e.g., FMP, CFM, RPA or CPM) is desirable

Physical Requirements

  • Able to operate a personal computer, either desktop or laptop.
  • Able to sit for extended periods of time.
  • Able to operate a copy machine, fax machine, calculator, telephone and other miscellaneous office equipment.
  • Able to exert up to 10 Lbs. of force occasionally, and /or a minimal amount of force frequently to lift, carry, push or otherwise move objects.
