TMB has a challenging opportunity for a Senior Executive Assistant to provide administrative and operational support to Deputy, Portfolio Acquisition Executive Maritime (Modernization and Sustainment) (DPAE M&S) Front Office in Washington, DC.
Responsibilities
- Prepare/review Navy correspondence, awards, and interoffice communications for daily distribution.
- Serve as DPAE M&S Enterprise Task Management Software Solution (ETMS2) Manager, ensuring consistent, secure, and timely handling of official actions, correspondence, and task assignments across the organization.
- Serve as Directives Control Point overseeing the management of all directives issued or received, ensuring that directives are current, necessary, complete, and free from conflicts or overlaps with other directives
- Responsible for processing, reviewing, and correcting Navy performance reports in accordance with BUPERSINST 1610.10H.
- Prepare daily/weekly reports and briefs in preparation for high-level meetings with Leadership and supporting Program Offices.
- Provide direct report to DPAE M&S Office Principle on extensive calendar management and various programmatic tasks.
- Plan, Coordinate, and Manage meetings, events, and ceremonies as required.
- Be a team player in supporting the Front Office Leadership Support Staff as needed.
- Other Administrative tasks as needed and assigned.
Qualifications
- At least twelve (12) years of experience in administrative roles supporting the U.S. Navy.
- Proficiency using the Defense Travel System (DTS).
- Experience using the Navy Correspondence Manual.
- Proficiency using Microsoft Office Suite.
- Focused and detail oriented with strong time management ability to multitask and meet deadlines while maintaining a high level of quality readiness.
- Strong organizational skills with an ability to communicate effectively orally and in writing.
- Proactive and excellent customer service.
- Ability to perform frequent internal and external customer interface including regularly scheduled and ad hoc meetings.
- Ability to travel reasonable distances (up to ½ mile one way) to meet with customers or other company personnel in the execution of job functions.
- Ability to lift and carry up to 25 pounds to carry a laptop, notebooks, papers, binders and other tools and equipment required in the execution of job functions.
- Must be a United States citizen.
- Must possess an active DOD Secret security clearance.
