The Opportunity:

The Maintenance Enforcement Office is seeking a highly organized, service-focused and collaborative individual to provide leadership, supervision and administrative oversight for the Program Support area. As Program Support Supervisor, you will support the delivery of timely, accurate and consistent program services by guiding staff, monitoring workload, strengthening processes, and promoting a respectful, inclusive and accountable workplace. This position will be of interest to someone who is comfortable leading a team in a fast-paced environment, adapting to changing operational needs, and supporting staff who provide service to a diverse public. In addition, this position requires a satisfactory credit score as a condition of employment.

As the Program Support Supervisor, you will:

  • Supervise, coach and support Program Support staff by setting clear expectations, assigning work, monitoring progress, providing feedback, and supporting performance and development in alignment with public service values;

  • Promote a healthy, respectful, inclusive and safe workplace by modelling professionalism, supporting collaboration, addressing issues appropriately, and encouraging staff to contribute to team and program outcomes;

  • Oversee the establishment, maintenance, quality control and archiving of case files and related program records to ensure accuracy, timeliness, confidentiality and compliance with legislation, policy and established procedures;

  • Interpret and apply legislation, regulations, policies and procedures when responding to inquiries, resolving program support issues, and providing direction on file-specific matters;

  • Monitor workload, service pressures, staffing needs and operational priorities, and adjust assignments or recommend solutions to support consistent service delivery;

  • Identify opportunities to improve administrative processes, strengthen internal controls, support audit requirements, and improve efficiency through effective use of systems, data and digital tools; and,

  • Collaborate with supervisors, Family Support Officers, Team Leads, managers and other internal partners to support integrated service delivery and the overall objectives of the Maintenance Enforcement Office.

Technical Knowledge and Skills:

Technical knowledge and experience for this position will include:

  • Knowledge of general office practices, administrative procedures, records management and case file maintenance;
  • Knowledge of basic accounting principles, payment processing, cashiering functions and financial record accuracy;
  • Knowledge of the court system, court documents, maintenance enforcement processes, privacy requirements, and relevant legislation, regulations, policies and procedures;
  • Experience supervising, coaching, training, assigning work, monitoring performance, and supporting staff in a busy service environment;
  • Experience using databases, case management systems, Microsoft Office applications, Outlook, Excel and other digital tools to support accurate, timely and confidential program administration; and,
  • Experience reviewing processes, supporting audit requirements, identifying service pressures and contributing to practical operational improvements.

Typically, the knowledge and experience required for this position would be obtained through:

  • A combination of related post-secondary education and experience in office administration, business administration, justice, public administration, accounting, records management or a related field;
  • Several years of progressively responsible administrative or program support experience, preferably in a legal, enforcement, financial, government or high-volume client service environment;
  • Experience supervising or leading staff, assigning work, training employees, monitoring workload, addressing performance issues and supporting a positive team environment; and,
  • An equivalent combination of education and experience may be considered.
