Job Objective
This role involves managing the Documentation team for issuing standard facility letters and security documents, overseeing the Post Acceptance Team's review of executed documents returned by IBG customers (Large Corp, Mid Cap, SME), and acting as a liaison with Legal and Compliance for structuring new product documents. It also includes supervising all related issues and projects.
Responsibilities
Document Issuance and Checking
Manage, develop, and supervise staff members to achieve agreed Service Level Agreements (SLAs) for the issuance of offer letters
Ensure all documents returned by customers are duly executed and completed in order before submission to the Credit Control Unit
Enhance the unit’s productivity by implementing automated processes
Simplify existing banking documents to improve the competitiveness of our products and sales teams
Lead the team to complete all projects involving Documentation Services & Post Acceptance Team processes
Process Management
Develop, continuously review, streamline, and improve procedures for document checking to increase efficiency and reduce turnaround time
Perform capacity planning, resource management, and develop Management Information System (MIS) reporting
Focus on SLA improvement, quality maintenance, and complaint management
Compliance & Risk Management
Ensure that the approach, processes, controls, and quality assurance related to compliance and risk management are properly documented
Team Management
Manage working relationships with internal customers and external service partners to ensure smooth workflow
Ensure the team is informed of any changes in policies and guidelines regarding internal control standards and external statutory regulations (e.g., through training and team briefings)
Strengthen staff development to cultivate a skilled and diverse talent pool in AI development, establishing a solid foundation for institutional expertise
Foster a culture of innovation within the bank and guide the team through transformative change by leveraging AI-driven solutions and removing toil
Drive continuous improvement in operational processes by harnessing the power of AI technology
Key Accountabilities
Provide documentation advice to product and sales teams for structuring deals and products
Collaborate closely with Legal and Compliance to ensure both legal and regulatory requirements, as well as the bank's interests, are reflected in bank documentation
Lead documentation simplification and automation projects
Manage and supervise the Documentation Services Team in preparing offer letters and documentation for client execution with high efficiency and quality
Manage and supervise the Post Acceptance Team in checking the loan and security documents returned by customers are duly executed with high efficiency and quality
Requirements
Degree holder in Banking or Business Administration
10-15 years of relevant experience in banking and credit related industry with at least 5 years in management role
Preferable with PRC documentation knowledge
Good in both English and Chinese writing
Knowledgeable in commercial banking products & processes
High vigilance on risk factors
A people manager with strong communication, presentation and interpersonal skills
