Systems Administrator/Key Operator (Full Time)
WE ARE LOOKING FOR A sYSTEM ADMINISTRATOR / KEY OPERATOR
We are excited to share that Hyatt Regency Calgary has an opportunity to join our Sales, Events and Marketing team as a System Administrator/Key Operator. We will take care of your journey with us, while you take care of our customers.
The System Administrator / Key Operator’s role will involve supporting the Sales, Events & Marketing department through strong system ownership, accurate data management and reliable administrative support.
The primary focus of this role is to act as the key operator and system administrator for Envision, ensuring account, contact, booking, event and reporting information is accurate, current and maintained to Hyatt standards. This position plays an important role in supporting system integrity, reporting, internal processes and communication across the department.
What is expected of me in this role?
§ Act as the department’s primary Envision (Hyatt’s Sales System) System Administrator / Key Operator.
§ Maintain accurate and complete account, contact, lead, booking and event records in Envision.
§ Ensure system data is entered consistently and updated in a timely manner.
§ Complete regular audits, cleanup and maintenance of Envision records, including duplicate checks, missing information and outdated account details.
§ Support account assignments, traces, activities, booking updates and reporting requirements.
§ Prepare and pull system reports related to events, bookings, production, account activity and department performance.
§ Support Sales, Events & Marketing leaders with system-related updates, reporting, troubleshooting and process improvements.
§ Help maintain department templates, standards, records and internal system procedures.
§ Serve as a resource for colleagues using Envision, including basic guidance, troubleshooting and best-practice support.
§ Assist with event-related system updates, including function space, event details, billing instructions, setup notes, menu details, guarantees and client requirements.
§ Support the Events team with banquet event orders, event resumes, change logs, internal notes and other event documentation as needed.
§ Help track important event deadlines, including deposits, signed documents, guarantees, rooming lists, menu selections and final details.
§ Support communication between Events, Banquets, Culinary, Front Office, Reservations, Finance, Sales and other hotel departments.
§ Assist with client follow-up when needed to collect missing event details or confirm changes.
§ Provide limited sales administrative support as needed, including lead entry, proposal support, contract updates and account maintenance.
§ Identify opportunities to improve system accuracy, reporting, workflow and department communication.
§ Valid work authorization for Canada
EXPERIENCE
§ 2+ years of experience in hotel administration, sales systems, events, catering, reservations or hotel operations.
§ Prior experience maintaining CRM (Customer Relationship Management), event management or hotel sales systems.
§ Familiarity with hotel event workflows, banquet event orders, group details, function space and billing instructions.
§ Experience preparing reports, auditing data and supporting system users.
§ Previous experience in hotel sales, events, catering, reservations, conference services or administrative support preferred.
§ Experience with Envision, Opera or another hotel sales/event management system is strongly preferred.
§ Strong computer skills, including Microsoft Office; Excel experience is an asset.
§ Excellent attention to detail and commitment to accuracy.
§ Strong organizational and time-management skills.
§ Ability to work collaboratively with multiple departments.
§ Comfortable learning systems, supporting colleagues and improving processes.

This role will typically be a 40-hour workweek; some weekend and evening work will be required.
The minimum annual salary for this position is $61000 CAD
