About the Position: We are actively seeking a Talent Acquisition and HR Coordinator to support the Talent Acquisition team and act as a resource for day-to-day HR support. This is a highly administrative position requiring strong organization skills, attention to detail, and ability to manage multiple tasks and deadlines in a fast-paced environment. The position is intended for an early-career HR professional with 1–2 years of relevant experience supporting the HR team across two core areas: Talent Acquisition (70%) and HR generalist support (30%). The ideal candidate is a proactive, service-oriented professional who thrives on logistics, processes, and keeps things running smoothly behind the scenes. This role will work on a hybrid schedule, based in our Chicago office.

Specifically, this individual will be responsible for the following:
Talent Acquisition Coordination (70%)
Talent Acquisition Support
- Schedule and coordinate all stages of the interview process (virtual and onsite) across multiple roles, hiring managers and candidates.
- Manage and coordinate interview logistics from start to finish (calendar invites, conference rooms, interviewer prep materials, etc.) and candidate travel arrangements (flights, hotels, etc) while ensuring a timely, professional, and positive experience.
- Draft offer letters using approved templates and guidelines; coordinate internal approvals, deliver offers to candidates, manage revisions, and track offer execution and completion.
- Monitor and maintain the shared Recruiting inbox, ensuring questions and requests are acknowledged and routed through resolution.
- Manage the employee referral process, including intake, tracking, communication to HR Operations, and other follow-up.
- Generate recruiting reports and assist with recruiting metrics and data accuracy.
- Review resumes and screen candidates to support active searches when needed.
- Help identify opportunities to improve recruiting workflows, candidate experience, documentation, and process consistency.
Campus & Intern Recruiting
- In collaboration with the campus recruiting team, provide administrative support for campus recruiting activities, including career fair registration, university partnership logistics, and on-campus event coordination.
- Support the full intern program lifecycle: posting interns roles, coordinating intern interviews, tracking offer acceptances, managing pre-arrival logistics, and summer program management.
- Maintaining intern and campus recruiting calendars, tracking key deadlines across multiple schools and recruiting seasons.
ATS Management & Job Postings
- Own day-to-day ATS administration, including creating and updating job requisitions, moving candidates through workflow stages, and ensuring data accuracy and completeness.
- Track candidate pipelines and provide regular status updates, metrics and reporting.
Pre-hire, Onboarding & Orientation
- Coordinate all new hire pre-hire activities (e.g. background check coordination) and onboarding logistics (e.g. Day 1, workspace setup requests, IT provisioning coordination) and serve as the point of contact for incoming employees.
- Process new hire files and onboarding tasks in HRIS, ensuring new hire records are accurate and audit ready.
- Co-own and coordinate/schedule new-hire orientation and first week readiness in partnership with People and Performance Team, hiring managers, and relevant internal stakeholders.
- Support and process internal mobility changes, transfers, promotions, and coordinating with HR and hiring managers to keep records consistent.
- Track and organize I-9s, background checks and employment authorization documentation and other employee documents
HR Generalist Support & Employee File Management (30%)
- Monitor and maintain the shared HR inbox, ensuring questions and requests are acknowledged and routed through resolution.
- Assist with general HR administrative tasks and employee support requests.
- Support intern program coordination, including scheduling, communications, and administrative tasks
- Support HR projects and initiatives as assigned, including data gathering, scheduling, communications and coordination.
- Own compiling monthly HR metrics.
- Maintain employee personnel files and ensure records are organized, complete, and current while maintaining confidentiality of sensitive information.
- Support document collection, filing, and retention in accordance with company practices and applicable requirements.
