The Talent Acquisition Specialist is responsible for supporting the full lifecycle recruitment process to attract, engage, assess, and hire qualified talent across multiple teams and functions. This role partners closely with hiring managers, HR Business Partners, and other key stakeholders to understand workforce needs, develop effective sourcing and recruitment strategies, manage candidate pipelines, and deliver a positive and consistent candidate experience.
The Talent Acquisition Specialist manages recruitment activities from sourcing and screening through interview coordination, selection, offer management, pre-employment requirements, and onboarding preparation. The role also supports recruitment reporting and analytics, compliance activities, employee referral programs, recruitment systems, and process improvement initiatives. Through strong stakeholder partnership, market awareness, and proactive sourcing strategies, this position helps ensure DHL attracts and hires the talent needed to support current and future business objectives.
Duties & Responsibilities:
Talent Acquisition & Recruitment Strategy
- Build and deliver excellence throughout each stage of the talent acquisition process, including sourcing, employer branding, candidate engagement and experience, screening, selection, offer management, and hiring.
- Partner closely with hiring managers to develop a thorough understanding of position responsibilities, qualifications, expectations, working conditions, compensation parameters, target candidate audiences, and hiring timelines.
- Manage recruitment pipelines and requisitions across multiple teams and functions, ensuring appropriate prioritization and timely progression of candidates.
- Develop and execute comprehensive sourcing strategies utilizing internal DHL databases, job boards, educational institutions, professional associations, external networks, industry contacts, and other recruiting resources.
- Partner with key stakeholders to identify recruitment challenges and proactively develop new and innovative strategies to address current and future talent needs.
- Monitor relevant external labor market and employment trends and recommend recruitment strategies based on emerging trends, candidate availability, and business needs.
- Serve as a Talent Acquisition liaison for DHL-sponsored committees, initiatives, and programs, including diversity initiatives, college recruitment programs, and other talent outreach efforts.
- Participate in networking events, career fairs, campus recruiting, and off-site recruitment programs to build strong candidate pipelines and support organizational hiring needs.
Candidate Sourcing & Engagement
- Proactively identify and engage active and passive candidates using creative sourcing techniques and a variety of recruitment channels.
- Build and maintain talent pipelines to support current and anticipated hiring needs.
- Present employment opportunities to qualified candidates and communicate relevant information regarding the position, organization, and recruitment process.
- Maintain consistent communication and follow-up with candidates and internal stakeholders to support a timely, transparent, and positive recruitment experience.
- Promote a positive employer brand and candidate experience throughout all stages of the recruitment process.
- Represent DHL with professionalism, integrity, and authenticity in alignment with corporate values.
Screening & Evaluation
- Review resumes and applications to evaluate candidate qualifications and alignment with position requirements.
- Conduct phone screens and initial interviews to assess candidates' skills, experience, qualifications, and alignment with organizational and position requirements.
- Develop screening and interview questions based on position requirements and the desired candidate profile.
- Administer or coordinate pre-employment assessments and testing, as applicable.
- Identify qualified candidates and provide recommendations to hiring managers based on established selection criteria.
Interview Coordination & Candidate Assessment
- Schedule and coordinate interviews with hiring managers, team members, and other applicable stakeholders.
- Provide candidates with appropriate information regarding DHL, the position, and the interview and selection process.
- Collect and facilitate interviewer feedback to support timely candidate selection decisions.
- Collaborate with hiring managers to evaluate candidate qualifications and make informed hiring recommendations and selection decisions.
- Communicate timely updates and next steps to candidates throughout the interview and selection process.
Offer Management & Pre-Employment
- Partner with hiring managers, HR Business Partners, Compensation, and other HR functions to determine appropriate offer details in accordance with established company guidelines.
- Prepare and extend employment offers to selected candidates and communicate applicable compensation and benefits information.
- Coordinate and oversee pre-employment requirements, including background investigations, reference checks, drug testing, physical examinations, and other applicable requirements.
- Monitor completion of pre-employment activities and resolve or escalate issues that may impact the candidate's anticipated start date.
- Coordinate with HR Business Partners and applicable stakeholders to ensure required new hire processing is completed accurately and timely for the employee's first day of employment.
- Support a seamless transition from candidate acceptance through onboarding and start date.
Data Management, Metrics & Reporting
- Maintain accurate, complete, and up-to-date candidate, requisition, and recruitment activity records within the applicant tracking system (ATS) and other applicable HR systems.
- Research, compile, analyze, and report recruitment metrics, trends, and key performance indicators.
- Provide insights and recommendations based on recruitment data to improve hiring effectiveness, efficiency, candidate experience, and recruitment processes.
- Monitor requisition and candidate activity to identify potential delays, trends, or areas requiring additional recruitment support.
- Manage and track employee referrals to determine Referral Bonus eligibility and ensure accurate processing.
Compliance & Documentation
- Ensure recruitment and hiring activities comply with applicable employment laws, regulations, company policies, and established procedures.
- Maintain appropriate documentation and records related to recruitment activities, including job descriptions, candidate records, offer documentation, and other required materials.
- Reconcile Denied Parties submissions monthly to ensure compliance and investigate and resolve identified discrepancies.
- Manage and maintain DocuSign templates, updating forms, signature requirements, and other documentation as compliance or business requirements change.
- Ensure appropriate applicant tracking flow, documentation, and records retention throughout the recruitment and hiring process.
Process Improvement & Technology
- Champion opportunities to automate recruitment processes and systems to eliminate or reduce manual activities and improve efficiency.
- Identify opportunities to streamline recruitment workflows, improve system utilization, and enhance the candidate and hiring manager experience.
- Partner with appropriate stakeholders to recommend and support implementation of recruitment process improvements.
- Promote consistent adoption of Talent Acquisition processes, systems, tools, and best practices.
Collaboration & Functional Support
- Collaborate with HR Business Partners, Compensation, hiring managers, and other HR functions to address recruiting, compensation, onboarding, and workforce-related needs.
- Build and maintain effective relationships with hiring managers, HR partners, candidates, educational institutions, professional organizations, and other internal and external recruiting resources.
- Provide functional guidance, advice, coaching, and training to less-experienced recruiting staff as needed.
- Share recruiting knowledge, market insights, sourcing strategies, and best practices across the Talent Acquisition team.
Minimum Qualifications:
Education & Experience
- Post-secondary education in Human Resources, Business Administration, or a related field.
- Minimum of 1–2 years of experience in Talent Acquisition, Recruiting, Human Resources, or a related field.
- Experience working with an Applicant Tracking System (ATS) preferred.
- Experience supporting recruitment activities in a fast-paced, multi-functional environment preferred.
Technical Skills
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to effectively learn and utilize new technologies, systems, processes, and tools.
- Working knowledge of applicant tracking systems and recruitment-related technology.
- Project management and negotiation skills are considered an asset.
