What You’ll Do
Coordinates the acquisition, inventory, charging and distribution of over 1,000 healthcare related supplies following guidelines and hospital policy to assure that supplies are available to assure the safe medical treatment for patients. MMIS software is utilize to obtain optimal efficiencies between 99+ fill rates, charging of all departments for supplies, and cost of inventory. Assures the accuracy and efficiency for the flow of material inventory replenishment. Ensures cycle counts and resolution of inventory. Implements 2 bin distribution system. Participates on relevant committees. Acts as liaison between nursing, purchasing and supply chain management. Coordinates the purchase of supplies through our materials acquisition process in collaboration with selected vendors. Conducts routine monitoring of supply usage and adjusts to meet usage needs. Make decisions independently and/or in collaboration with Supervisors, Nursing staff, Physicians and other members of the health care team. Produces monthly KPI's reflecting value and efficiency of inventory, fill rates, etc. Responsible for coordinating daily activities for Central Stores and Receiving. Ensuring delivery, stocking, and continues of product for hospital locations. Publishes staffing schedule for Central Stores and Receiving. Plans with the manager inventories and process changes within Central Stores and Receiving.
Duties/Responsibilities
- Obtain accurate and complete demographic and financial information from patients or their representatives through established screening techniques.
- Coordinates the acquisition of materials distributed for patient care, manages inventory levels and ensures proper inventory distribution methodologies are being adhered to within department within the MMIS system. Responsible for charging departments for products used from Central Supplies.
- Conducts cycle counting to assure proper inventory controls are in place.
- Conducts audits of supply rooms to determine customer need and continuous improvement of distribution methods to ensure proper inventory levels. Direct impact to patient care.
- Monitors and reports cost to reduce budget spending when applicable.
- Participates and contributes in department goals as related to patient experience, employee experience, growth and innovation, quality and safety, and profitability.
- Maintains relevant logs, databases and files to ensure proper adherence to regulatory agencies including but not limited to ODH and Joint Commission.
- Reports any major cost increases to Purchasing to work to avoid financial impact to Adena.
- Conducts physical inventories of hospital assets and inventories to ensure proper inventory controls and reports variances to Manager and Director.
- Produces monthly KPI's reflecting value and efficiency of inventory, fill rates, etc.
- Responsible for daily operations of Central Stores and Receiving including scheduling and planning with the Supply Chain Operations Manager.
- Supports patient care by properly cleaning/disinfecting and maintaining durable medical equipment according to regulation, standards, manufacturer recommendations, and established principles and protocols.
- Maintains productivity through accurate and timely collection and delivery of supplies and durable medical equipment to/from patients’ homes and by communicating pertinent information in a timely fashion to all members of the Health Care Team, both verbally and in written form, with the ability to adapt and change.
