Salary: Up to $6500/month
Location: West
Working days/hours: Monday to Friday Office hours
ASAP - 6 months
1 month completion bonus
Extendible after 6 months

Jobscope:
Provide high-quality coordination and administrative support to the Department Head and members in the department

Manage calendars, meetings, travel, expenses, communications, records, and operational follow-ups so the department can work efficiently.

Manage the head of department and team’s calendar, schedule meetings and maintain visibility of upcoming commitments.

Coordinate internal and external meetings, including agendas, meeting rooms, virtual links, attendee communications, minutes, and follow-ups.

Arrange domestic and international travel, including itineraries, bookings, visas, and travel-related documentation.

Prepare and submit expense claims, track reimbursable expenses, and follow up on invoice or payment matters.

Coordinate communication between the CEO’s office, department members and internal or external teams

Maintain confidential records and support department operations, including onboarding, team events, data collation, venue bookings, and other priority projects.

Requirements:
Diploma/Degree in business or any relevant field

Minimum 2 to 3 years of experience as a team secretary, executive assistant, personal assistant or any similar role
