Summary
Administrative support role coordinating university convocation events and registrar office operations, using Microsoft Office tools in a fast-paced Singapore office.
The Executive will support both Academic Policy and Convocation-related operations within the Registrar's Office. The role involves administrative coordination, stakeholder engagement, enquiry management, data processing, event support, and operational execution to ensure the smooth delivery of Registrar's Office functions and the university’s Convocation 2026.
Responsibilities
- Support the end-to-end planning, coordination, and execution of the university’s Convocation ceremonies, including logistics arrangements and on-site event operations.
- Support Academic Policy and Registrar's Office initiatives, including coordination of meetings, documentation, records management, and follow-up actions.
- Assist in the administration, review, and updating of academic policies, procedures, templates, and related documents.
- Coordinate with internal stakeholders to facilitate policy-related exercises, data collection, and operational matters.
- Manage and respond to enquiries via email and phone professionally, ensuring timely follow-up and resolution.
- Assist with data verification, preparation of reports, tracking of submissions, and maintenance of records.
- Provide administrative and operational support for Registrar's Office activities and projects.
- Undertake any other ad-hoc duties assigned to support operational requirements.
Requirements
- Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
- Strong organisational skills with attention to detail and accuracy.
- Good written and verbal communication skills.
- Able to manage multiple tasks and work effectively in a fast-paced environment.
- Prior experience in event operations, administration, or project coordination will be advantageous.
- Proactive, resourceful, and service-oriented with good interpersonal skills.
- Comfortable working beyond normal office hours during peak periods.
- Able to work independently while collaborating effectively with multiple stakeholders.

- Working Hours Mon to Thu: 8.30am to 6pm, Fri: 8.30am to 5.30pm
- Candidates are informed of the requirement and be agreeable to working extended hours when necessary
