Temporary Executive Assistant - Santa Clara, CA - Hybrid

As a temporary Executive Assistant based in Santa Clara, California, you will provide comprehensive administrative support primarily to the Chief Executive Officer, Chief Financial Officer, Chief People Officer, and Chief of Staff. You will coordinate complex calendars, travel, meetings, events, and executive-level projects while ensuring the smooth execution of day-to-day operations. This role will also support office initiatives, including all-hands meetings, off-sites, and physical office moves. Success in this position requires sound judgment, discretion, strong organization, and the ability to anticipate the needs of senior leaders in a fast-paced environment. The anticipated duration of this temporary position is six to eight weeks.
What you’ll do
- Provide comprehensive administrative support to multiple senior executives, including calendar management, travel coordination, and meeting logistics.
- Plan, organize, and execute executive projects and special events, including departmental all-hands meetings, off-sites, and physical office moves.
- Prepare and collect materials for executive presentations and meetings, and document meeting minutes, decisions, and action items.
- Manage and reconcile expense reports and purchase requisitions in accordance with company policies and guidelines.
- Maintain accurate organization charts, staffing information, filing systems, and contact matrices.
- Coordinate vendor and customer review meetings and ensure appropriate adherence to Gigamon’s corporate policies and guidelines.
- Provide backup support to other executive administrative staff as needed.
- Oversee general office operations, including office supplies and equipment maintenance.
What you’ve done
- Demonstrated advanced experience supporting senior executives in a fast-paced environment.
- Proven ability to manage multiple priorities and complex schedules with precision and attention to detail.
- Demonstrated project management experience, including coordinating meetings, events, or office initiatives.
- Proficiency with Microsoft Outlook, Word, PowerPoint, and Excel.
- Experience managing HR-related processes and maintaining confidential organizational information.
- Demonstrated ability to learn and adopt new office technologies and systems.
- Familiarity with web development and SharePoint is highly desirable.

The hourly compensation range targeted for this role based out of Gigamon’s Santa Clara, CA, Headquarters office is $50 -$60 per hour. This salary range is an estimate, and the actual salary may vary based on the Company’s compensation practices.
