The Opportunity
We are seeking a Tenant Delivery Manager to serve as the primary owner for the successful delivery of tenant spaces from lease execution through tenant opening across Trademark’s owned and managed retail and mixed-use property portfolio. Reporting directly to the Director, Tenant Services, this position transforms lease obligations into an executable delivery strategy by aligning people, processes, and project milestones.
Acting as the central point of coordination among Ownership, Leasing, Development, Property Management, Asset Management, and Tenants, you will proactively manage risk, facilitate informed decision-making, and drive successful store openings. While collaborating with internal teams when project interfaces exist, this role remains dedicated to tenant delivery activities and risk management. Regular travel to properties is required.
What You’ll Do
1. LOI & Lease Negotiations
- Lease & Workletter Review: Review LOIs, leases, and workletters to identify delivery obligations, Landlord/Tenant responsibilities, signage requirements, Tenant Allowances, and critical lease milestones.
- Constructability & Terms: Coordinate with appropriate stakeholders during lease negotiations to identify potential constructability issues and clarify Landlord delivery obligations.
- Notices & Schedules: Issue tenant delivery letters, issue required lease notices, establish tenant delivery schedules, and closely monitor key lease milestones.
2. Tenant Design Coordination
- Criteria Distribution: Distribute Tenant Design Criteria and essential construction information to Tenants and design consultants.
- Plan Review & Compliance: Coordinate the Tenant plan review process, verify compliance with Design Criteria, and track architectural, engineering, signage, and specialty consultant approvals.
- Cross-Team Facilitation: Coordinate internal review comments and facilitate timely resolution with tenants and design consultants.
- Pre-Construction Requirements: Ensure required permits, insurance, deposits, and necessary approvals are received prior to the start of construction.
3. Space Turnover & Tenant Delivery
- Turnover Verification: Verify that Landlord delivery obligations are satisfied in accordance with the lease prior to tenant turnover.
- On-Site Coordination: Conduct pre-construction meetings alongside property operations and monitor tenant construction progress against approved schedules to mitigate opening risks.
- Opening & Punch List Support: Support the certificate of occupancy and store opening process, manage punch list completion between Landlord, tenant, and contractors, and provide formal turnover paperwork to Property Operations.
4. Financial Administration
- Tenant Improvement Allowances: Process Tenant Improvement Allowance documentation and reimbursement requests.
- Compliance & Processing: Verify financial requests comply with lease requirements and coordinate seamless payment processing while maintaining accurate documentation.
5. Departmental Reporting & Communication
- Central Contact: Serve as the primary point of contact for tenant delivery from lease execution through grand opening.
- Risk Management: Identify project risks early, communicate potential impacts, and implement mitigation strategies to maintain target opening dates.
- Dashboard & KPI Tracking: Maintain project schedules, dashboards, KPI reporting, and documentation within the department's operating platform.
- Cross-Functional Collaboration: Facilitate cross-functional decision-making, maintain ongoing communication with ownership, and actively participate in leasing and portfolio update meetings.
