The Title IX Case Management, Prevention, and Human Resources Coordinator is responsible for coordinating Title IX case management, prevention education, compliance initiatives, and assessment activities while providing project coordination and employee relations support to the Office of Human Resources. This position plays a critical role in fostering a safe, equitable, and inclusive campus environment by ensuring compliance with Title IX, supporting institutional investigations, administering supportive measures, maintaining confidential records, and delivering educational programming.

In addition, the position assists Human Resources with employee communications, workplace investigations, employee relations administration, compliance projects, and strategic initiatives that promote employee engagement and organizational effectiveness.

The ideal candidate possesses exceptional organizational skills, maintains strict confidentiality, demonstrates sound judgment, and effectively manages multiple sensitive priorities in a collaborative higher education environment.

Essential Job Functions

Title IX Case Intake and Supportive Measures (25%)

  • Conduct initial intake meetings with complainants, respondents, and witnesses regarding reports of discrimination, harassment, sexual misconduct, retaliation, and other Title IX-related matters.
  • Explain Title IX rights, reporting options, grievance procedures, available supportive measures, and University resources.
  • Coordinate supportive measures and reasonable accommodations for students and employees.
  • Maintain ongoing communication with all parties throughout the complaint resolution process.
  • Refer individuals to appropriate campus and community resources, including counseling, medical services, law enforcement, advocacy organizations, and academic support services.
  • Assist the Title IX Coordinator with monitoring the implementation and effectiveness of supportive measures.

Complaint Resolution and Case Coordination (20%)

  • Assist the Title IX Coordinator with formal and informal grievance resolution processes.
  • Coordinate investigations, interviews, meetings, hearings, and related logistics.
  • Ensure timely communication with complainants, respondents, advisors, investigators, decision-makers, and other involved parties.
  • Monitor case timelines to ensure compliance with Title IX regulations and University policies.
  • Prepare correspondence, notices, timelines, and case documentation throughout the investigation and resolution process.
  • Assist with implementing case resolutions and monitoring compliance with outcome requirements.

Records Management and Compliance (15%)

  • Maintain confidential and secure Title IX records in accordance with Title IX regulations, FERPA, Clery Act requirements, and University record retention policies.
  • Organize investigative files, evidence, hearing records, transcripts, and related documentation.
  • Maintain statistical data and prepare reports regarding Title IX complaints, supportive measures, investigations, and outcomes.
  • Assist with annual compliance reporting, audits, accreditation reviews, and regulatory inquiries.
  • Ensure all case documentation is complete, accurate, and maintained in accordance with applicable laws and institutional policies.

Education, Prevention, and Special Programs (20%)

  • Develop, coordinate, and facilitate programs for students, faculty, and staff regarding:
  • Title IX rights and responsibilities
  • Sexual harassment and misconduct prevention
  • Consent and healthy relationships
  • Reporting options and campus resources
  • Bystander intervention
  • University grievance procedures
  • Coordinate annual awareness campaigns and prevention initiatives.
  • Develop and implement educational programming supporting pregnant and parenting students in accordance with Title IX protections.
  • Collaborate with Student Affairs, Human Resources, Athletics, Housing, Academic Affairs, Campus Safety, and other departments to promote a culture of respect, inclusion, and compliance.
  • Create educational materials, presentations, and communication resources supporting Title IX awareness.

Assessment and Continuous Improvement (10%)

  • Develop, administer, and evaluate annual campus climate surveys measuring:
  • Campus culture
  • Awareness of reporting resources
  • Confidence in reporting processes
  • Institutional response effectiveness
  • Perceptions of safety and inclusion
  • Analyze survey data and prepare reports with recommendations for University leadership.
  • Monitor national best practices and emerging regulatory guidance related to Title IX and civil rights compliance.
  • Recommend improvements to policies, procedures, educational programming, and institutional practices based on survey findings and case trends.


Additional Duties and Responsibilities

Human Resources Project and Employee Relations Support (10%)

  • Assist the Office of Human Resources with strategic projects, compliance initiatives, and special assignments.
  • Draft, edit, and distribute employee communications, newsletters, announcements, policy updates, and other HR communications.
  • Coordinate employee training programs, including scheduling, registration, attendance tracking, evaluations, and training records.
  • Support Human Resources initiatives related to employee engagement, organizational culture, wellness, recognition, compliance, and professional development.
  • Schedule employee meetings involving workplace concerns, employee relations matters, investigations, performance discussions, and other confidential Human Resources matters.
  • Maintain confidential logs and tracking systems for employee concerns, complaints, investigations, corrective actions, and case activity to ensure timely follow-up and accurate documentation.
  • Coordinate interviews for workplace investigations by scheduling employees, witnesses, managers, and other participants while managing interview logistics.
  • Assist Human Resources leadership with preparing investigation summaries, timelines, correspondence, interview notes, and final investigation reports.
  • Assist with documenting employee relations matters and maintaining confidential personnel records.
  • Compile Human Resources metrics, reports, presentations, and supporting documentation for leadership meetings and compliance reporting.
  • Provide project coordination and administrative support for Human Resources initiatives and other Administrative Office functions as assigned.
