The Trade Asset Project Specialist will serve as the operational backbone of the Trade Marketing team, managing the end-to-end lifecycle of trade marketing assets, sales materials, and point-of-sale (POS) projects. This role is responsible for maintaining our POS portals, coordinating asset production and distribution among internal sales team and our distributor network, managing project timelines and deadlines, supporting sales requests, managing our internal document hub (The Coconut Hub), and ensuring trade materials are delivered accurately, on time, and within budget.The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple projects simultaneously while collaborating across Sales, Trade Marketing, Creative, Category Management, and external vendors.
This role is based out of our NYC HQ (three-day in-office requirement), sits within the Marketing team, and reports into the Senior Trade Marketing Manager. Key responsibilities include:
Asset Management & Distribution
• Serve as the primary administrator and owner of our point-of-sale (POS) portal (we use ADM) and asset management processes.
• Serve as the day-to-day point of contact for ADM and other fulfillment partners, managing asset orders, inventory reporting, shipping requests, and issue resolution.
• Manage inventory, ordering, distribution, tracking, and fulfillment of all POS, trade marketing, and sales support materials.
• Maintain accurate ship lists and coordinate deliveries to distributors, retailers, field sales teams, and trade events.
• Track asset inventory levels and proactively identify replenishment needs.
• Manage destruction and disposal processes for outdated or obsolete marketing materials.
• Ensure all trade assets are organized, cataloged, and accessible for internal stakeholders.
Project Management & Execution
• Own timelines, project trackers, and workflow management for trade marketing initiatives.
• Lead project timelines for POS development, asset production, fulfillment, and retailer-specific requests, ensuring all deliverables are completed on schedule.
• Coordinate cross-functional project schedules between Trade Marketing, Sales, Creative, and external vendors.
• Monitor key milestones and proactively communicate risks, delays, and next steps.
• Ensure all trade marketing projects are delivered on time and according to brand standards.
• Support execution of seasonal, customer-specific, and national retail marketing events and programs.
• Assist Trade Marketing team with administrative and project coordination as needed.
Sales Enablement Support
• Own development, maintenance, and distribution of sell sheets and sales support collateral, working closely with our sales team’s Center of Excellence.
• Partner with Trade Marketing, Category Management, Ops, Packaging, Legal, and Sales teams to ensure materials are current and accurate.
• Manage updates to product information, claims, imagery, and retailer-specific versions of trade and sales materials.
• Organize and maintain a centralized repository of marketing and sales assets on Coconut Hub.
Qualifications
• Bachelor’s degree in related field
• 2-4 years of experience in project management, trade marketing, sales operations, shopper marketing, or marketing coordination.
• Experience managing multiple projects and deadlines in a fast-paced environment.
• Strong organizational and project management skills with exceptional attention to detail.
• Strong communication skills and ability to coordinate across multiple teams.
• Proficiency in Microsoft Office Suite, project management tools (ClickUp is a plus), and asset management platforms.
• Experience within CPG, beverage, or consumer products industries preferred.

This is a reasonable estimate of the current pay range for this position. The base pay actually offered may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
