Training Admin Executive (AP)
Job Description
• Manage the end-to-end processing of funding applications, claims, disbursements, refunds, recoveries, and exception cases in accordance with prevailing funding policies and guidelines.
• Review and validate funding claims and supporting documentation to ensure completeness, accuracy, eligibility, and compliance requirements are met.
• Administer government funding schemes and other applicable grant programmes.
• Monitor claim submissions, funding status, and payout processes to ensure timely disbursement and resolution of outstanding cases.
• Handle enquiries, appeals, and escalations relating to funding applications, claims, and disbursements.
• Validate and process invoices, receipts, payments, funding payouts, refunds, and other financial transactions accurately and within agreed timelines.
• Maintain accurate transaction records and ensure proper documentation for audit and compliance purposes.
• Ensure integrity and accuracy of financial data through regular reviews and reconciliations.
• Support internal and external audits by preparing documentation, reports, and responses to audit queries.
• Adhere to established SOPs, policies, and work procedures to ensure operational excellence and consistent service delivery.
• Participate in system enhancements, process improvement initiatives, and implementation of new workflows and controls.
• Support ad-hoc projects, cross-functional initiatives, and any other duties assigned by Management
Requirements
Possess at least a Diploma or minimally 2 yrs of relevant experience for staff performing the operational functions.
• Proficient with computer use (i.e. Microsoft Word, Excel).
• Able to communicate in English and be conversant in a second language (i.e. Malay, Mandarin or Tamil)
• Experience handling government funding schemes, grants administration, or training industry funding programmes will be an advantage.
• Knowledge of accounting principles, financial controls, and audit requirements.
• Experience with funding portals, claims systems, or learning management systems will be advantageous.
