Job Purpose

We are looking for a Training Administration Executive to support learning and development operations. The role involves managing training registrations, coordinating learning events, maintaining training records, and providing administrative support to ensure smooth delivery of staff development initiatives.

Key Responsibilities

Learning Event Registration

  • Maintain and update training catalogues and learning portals.
  • Monitor training registration requests and approval status.
  • Register staff for courses, seminars, workshops and conferences.
  • Liaise with external training providers on participant registration and attendance.
  • Coordinate training confirmations, rescheduling and cancellations.
  • Process training invoices and funding claims.
  • Ensure timely submission of supporting documents for grants and subsidies.

Learning Operations & Administration

  • Provide administrative and logistics support for learning events.
  • Prepare training materials, attendance records and event resources.
  • Coordinate venue setup, refreshments and training logistics.
  • Support online and hybrid learning platforms.
  • Manage staff enquiries relating to training matters.
  • Maintain and update training trackers and records.
  • Raise purchase requests and purchase orders for training activities.
  • Support competency framework and learning roadmap development initiatives.

Reporting & Record Management

  • Maintain accurate training participation records.
  • Compile training statistics and management reports.
  • Track learning outcomes and participation data across organisational programmes.
  • Support periodic audits and reporting requirements.

Requirements

Qualifications

  • Diploma in any discipline.

Experience

  • Minimum 3 years of HR administration, learning & development administration, or training coordination experience.

Skills & Competencies

  • Strong administrative and coordination skills.
  • Excellent attention to detail and organisational abilities.
  • Good verbal and written communication skills.
  • Ability to work independently with minimal supervision.
  • Proactive and resourceful in resolving operational issues.
  • Proficient in Microsoft Outlook, Excel and PowerPoint.
  • Familiar with digital collaboration and learning tools such as: Microsoft Teams, Microsoft Forms, SharePoint, Mentimeter & Kahoot.
