Transport Logistics Coordinator

Summary

Oversee a transport workshop, manage vehicle repairs/maintenance, fuel kiosk operations, and vendor coordination using GSAP and telematics.

Responsibilities:

Purpose: -

  • Manage and supervise the day-to-day activities of the transport workshop to ensure vehicle repair work is carried out as per schedule and safely.
  • Oversee the Transport Workshop operation which provides maintenance and repair services for vehicles, such as road vehicles, vans, lorries, cement trucks, compressors, forklifts, fire tenders and bicycles.
  • Manages the operation of the client's petrol kiosk.
  • Ensures Safety, Reliability/quality & optimum cost during transport workshop activities execution.
  • Uses GSAP as a tool to manage transport workshop activities execution.

Accountabilities: -

  • Work closely with supporting vendor supervisor on fault assessment and obtain the most accurate quotation to execute all repairs and servicing.
  • Check on monthly billing of vendors to ensure accuracy before the vendor could invoice.
  • Track, monitor and ensure timely payment to third-party vendors through GSAP system.
  • Coordinate servicing and inspection of vehicles with End users (Client & Contractor personnel) and supporting vendor that allow the statutory vehicle inspections are done timely.
  • Monitor and work with vendor supervisor to ensure the spare parts are always readily available.
  • Check and inspect to ensure the pumps and the fuel dispensing record system at the fuel kiosk are maintained in good working condition and coordinate with vendor on prompt faulty recovery.
  • Download monthly fuel data from the refuelling pump system and formalise into proper report for finance reporting.
  • Keep track of the fuelling activities by both Client & Contractor’s users to prevent abuse. Manage the contractor’s workers who assist in topping of the fuel tanks.
  • Ability to utilise Telematic system to track on vehicle usage behaviour and conditions.
  • Provide frequent checks on the fuelling pump system, including related storage tanks and valve and arrange rectification when fault arise.
  • Manage the vehicle asset database and the in/out movement of registered vehicles from Onsite.
  • Manage the transport workshop air compressor and hydraulic carjacking system.
  • Ensure all vehicles (both Client & Contractors owned) operating Onsite are properly maintained, serviced, insured and inspected at specified interval and within allocated cost.
  • Prepare necessary documentation for licensing, registration and scrapping of vehicles with the authorities.
  • Develop work instructions, procedures and generate monthly management reports as required.
  • Involve in scheduled safety walkabout. Ensure equipment in workshop are in safe operations and the workshop area is well kept.
  • Focal point for inspecting vehicle landing in Bukom and ensure they are road worthy and meet our safety requirement before allowing entry into Onsite refinery.
  • Review and communicate daily / weekly schedule assignments with workforce; ensure safe and efficient completion of assigned work.
  • Manage the interviewing and issuing of contractor’s driver pass for driving Onsite.
  • Manage disposal of all waste generated from the Transport Workshop and related contractors’ operation such as battery, oil and tyre wastes. Ensuring these wastes are disposed properly by NEA licensed contractors.

Position Description (Dimension): -

  • Managing a crew of about 4 to 6 contractor’s skilled supervisor and mechanics on daily basis for Transport Workshop’s Day to Day Repair, Servicing & Maintenance works.
  • Manages all vehicles / transportations.

HSSE Responsibilities: -

  • Involve in and does regular safety walkabout for the Transport Workshop Area.
  • Assess the risk of all day-to-day jobs that is carried out and voice out any unsafe condition noticed.
  • Develop formal JOHAN with Vendors for all Standard and Non-Standard jobs in the Transport Workshop with medium and high risk.
  • Full compliance with LSR & Safety Rules always to achieve Goal Zero
  • Intervene any unsafe act on the field.
  • Respond to Emergency Fire Situations in the Transport Workshop Area.
  • Ensure complete compliance to all Client HSSE regulation and maintain good housekeeping in the workshop.


Experience and Qualifications required: -

  • Diploma/Degree in mechanical engineering with a minimum of 4 years engineering/maintenance of Transport Vehicles and bicycles.
