Responsibilities
Position Summary
The Treatment Coordinator Supervisor serves as the operational leader of the orthodontic departmentand is responsible for driving clinical excellence, operational efficiency, team performance, and businessgrowth. This role partners closely with the orthodontist(s), Operations Manager, and regional leadershipto ensure an exceptional patient experience while achieving departmental production and performancegoals.
This role leads a dedicated orthodontic team that travels together across multiple locations within theregion, providing consistent coverage, treatment coordination, and orthodontic leadership at each site.The Treatment Coordinator Supervisor oversees daily operations, optimizes provider schedules acrossall locations, drives treatment acceptance, and monitors key business metrics to ensure the continuedgrowth and success of the orthodontic program regionwide.
Essential Responsibilities
• Lead the day-to-day operations of the orthodontic department to ensure efficient workflowsand exceptional patient care.• Supervise orthodontic administrative and clinical support staff while fostering a culture ofaccountability, teamwork, and continuous improvement.• Manage multi-site scheduling to align patient volume with team's location rotation• Conduct daily team huddles and communicate operational priorities.• Monitor departmental readiness, inventory, equipment, and compliance with OSHA, HIPAA, andinfection control standards.• Support recruitment, onboarding, training, coaching, and performance management oforthodontic team members.• Serve as the operational leader for the orthodontic department in the absence of theOperations Manager
Business Performance & Growth
Own the operational performance of the orthodontic department by monitoring and improving keyperformance indicators, including:• Daily and monthly production• Treatment starts• Treatment acceptance percentage• Consult-to-start conversion• Provider productivity• Schedule utilization• Unscheduled treatment plans• Consult backlog• No-show and cancellation ratesDevelop and implement action plans to improve departmental performance and achieve organizationalgoals.Partner with Operations Leadership and Marketing to support initiatives that increase orthodonticgrowth through patient referrals, same-day consult opportunities, community outreach, and internalreferral programs.
Patient Experience & Treatment Coordination
• Conduct orthodontic consultations with patients and families.• Collaborate with the orthodontist to develop and present comprehensive treatment plans.• Educate patients regarding treatment options, expected outcomes, insurance benefits, andfinancial arrangements.• Present financial options confidently to maximize treatment acceptance.• Follow up on pending treatment plans and unscheduled cases.• Maintain ongoing communication with patients throughout treatment to ensure a positivepatient experience.• Resolve patient concerns promptly and professionally.Financial Oversight• Ensure financial agreements are completed accurately and in accordance with company policies.• Monitor insurance authorizations and treatment plan approvals.• Oversee outstanding treatment plans and payment arrangements.• Maintain accurate documentation and reporting related to orthodontic financial performance.• Partner with leadership to identify opportunities to improve revenue capture and operationalefficiency.Provider Partnership• Serve as the primary operational partner for the orthodontist(s).• Collaborate with providers to optimize scheduling templates and maximize clinical efficiency.• Anticipate operational challenges and implement solutions that improve provider productivityand patient flow.• Maintain consistent communication regarding departmental goals, scheduling opportunities,and workflow improvements.
Team Leadership & Development
• Train, mentor, and develop orthodontic team members.• Provide coaching and performance feedback to promote accountability and professionalgrowth.• Support employee engagement and foster a positive, collaborative workplace culture.• Identify operational challenges and implement process improvements to enhance teamperformance.• Promote consistency in workflows, patient experience, and adherence to company standards.Reporting & Continuous Improvement• Monitor and analyze departmental performance data.• Prepare reports related to production, treatment starts, case acceptance, scheduling, andprovider utilization.• Identify trends and implement operational improvements to enhance efficiency and patientsatisfaction.• Participate in leadership meetings and contribute to strategic initiatives that supportorthodontic growth across the organization.
Team & Travel Structure
• Leads one consistent orthodontic team that travels together to all locations — there is noseparate team or site lead at each location.• Rotates across the three assigned locations based on operational needs, patient demand,provider availability, and scheduling priorities. Site assignments may vary to support businessand clinical needs.• Partners with the assigned Clinical Lead, who travels alongside the team, to ensure clinicalconsistency, operational alignment, and continuity of patient care across all assigned locations• Coordinates with each location's front-office and clinical staff to ensure readiness, inventory,and compliance are maintained on days the traveling team is off-site.
Qualifications
Qualifications
• Minimum of 3 years of orthodontic experience required.• Previous supervisory or leadership experience preferred.• Strong knowledge of orthodontic treatment planning, scheduling, insurance, and financialcoordination.• Demonstrated leadership, coaching, and team development skills.• Strong analytical, organizational, and problem-solving abilities.• Excellent interpersonal and communication skills.• Proficiency with Microsoft Office (Excel, Word, Outlook).• Experience with Denticon, Cloud 9, Dolphin, OrthoTrac, NexHealth, or similar dental softwarepreferred.• High School Diploma or GED required; additional education in business, healthcareadministration, or dental management preferred.Key Competencies• Leadership & Team Development• Operational Excellence• Business Acumen• Patient-Centered Service• Financial Accountability• Strategic Thinking• Communication & Relationship Building• Problem Solving• Time Management• Continuous Improvement
Schedule: Monday-Friday 8:00am-5:00pm
Compensation: 55,000.00/Annually
