Our Kenya program, founded in 2006, operates under the local brand Tupande. Close to 500 staff in our Kakamega headquarters support 1,747 field staff and serve more than 1 million farmers. In Nairobi, around 50 staff support global functions like procurement, recruitment, government relations, and communications

About the Role

The job holder is responsible for the contracting processes for the procurement department and the management of Long Term Agreements.

Responsibilities

Forecasting and Tender Management

  • Run tenders and establish contracts for all frequently needed goods/services, high-value purchases, and identified strategic purchases that require long-term agreements.
  • Identify opportunities for cost savings through upstream supplier relationships and advise the relevant teams. Set a 0-6 month target for strategic procurement activities
  • Improve existing contracting and tendering processes in order to improve efficiency, effectiveness, and customer service.
  • Set target prices for all items before contracting, align with the relevant stakeholders, and negotiate prices to achieve the target or below.

Odoo contracting support to the Tupande Procurement Team

  • Be recognized and consulted as an Odoo tender master user.
  • Deliver ad-hoc training and provide training when requested.
  • Run tenders through Odoo & provide support to the suppliers.

Contract Planning & management

  • Prepare an annual tender calendar for different categories and review on a quarterly basis.
  • Monitor contract expiry and renewal dates and execute their timely renewal
  • Review market trends and advise management of potential contracting risks or significant anticipated price changes. Review price changes over the allowable tolerance and advise management on proposed next steps e.g. re-tendering
  • Support direct reports to ensure the team takes the lead on all key contracting initiatives. Regularly measure and report cost-savings achieved through contracts.
  • Provide cross-country support on global procurement projects and manage assigned global contracts.

Supplier management and performance evaluation

  • Organize and manage supplier meeting calendars to minimize supply challenges by meeting with at least 2 top suppliers on Long Term Agreements per month.
  • Manage the bi-annual supplier evaluation and categorize suppliers based on performance and bargaining power.
  • Create supplier performance reports, rank by performance and create performance improvement plans for poor performing suppliers.
  • Ensure supplier contractual commitments are respected, in particular, coordinating timely payments.

People Management

  • Manage up to 2 direct reports and provide the required support for them to meet set objectives
  • Conduct regular performance reviews with direct reports to measure performance, identify areas of growth, and provide tailored support to enhance their performance.
  • Lead weekly check in meetings with the direct reports and use the session to provide needed guidance for the execution of tasks.
  • Provide or assign necessary training to equip them with the skills/knowledge required for the proper execution of their duties

Qualifications

Across all roles, these are the general qualifications we look for. For this role specifically, you will have:

  • Bachelor’s degree in Law, Procurement & Supply Chain, or a related field.
  • 3+ years of relevant work experience in contracts or legal operations.
  • Comfortable working cross-functionally with legal, finance, and operational teams.
  • Able to support contract drafting and reviews, flagging legal or commercial risks where relevant.
  • Experienced in managing contract trackers, monitoring expiry timelines, and supporting renewals.
  • Strong data analysis skills
  • Capable of organizing supplier meetings, tracking follow-ups, and supporting performance reviews.
  • Clear communicator able to liaise with suppliers and stakeholders, and escalate risks when needed.
  • Solid understanding of basic contract law and its application in procurement (e.g., liabilities, SLAs, renewals).
  • Familiar with the contract lifecycle including drafting, negotiation support, and renewal tracking.
  • Awareness of commercial risks (e.g., inflation, pricing volatility, vendor
