A. Job Summary: The UKG Analyst is responsible for the administration, governance, support, and continuous improvement of the UKG timekeeping system for Montefiore Nyack Hospital and Highland Medical. Reporting to the Payroll Manager, this position ensures that all pay-impacting timekeeping data is accurate, complete, and ready for payroll processing. This role serves as the functional owner and subject matter expert for UKG Timekeeping, Accruals, Advanced Scheduling, and Reporting. Working in close partnership with Payroll, Human Resources, Nursing Leadership, Information Technology, and the Montefiore Health System (MHS) UKG Support Team, the analyst ensures that system configuration, business processes, and timekeeping practices support accurate payroll results. The primary purpose of this position is to protect payroll accuracy by ensuring the integrity of all timekeeping data before it is transmitted to Workday Payroll. Through proactive auditing, reconciliation, system administration, training, and employee support, this role minimizes payroll errors, strengthens internal controls, improves operational efficiency, and enhances employee experience.

Essential Job Qualifications

1. Education: Associate’s degree in business, Accounting, Finance, Information Systems, Human Resources, or related field.

2. Experience: Minimum three (3) years administering UKG Workforce Management (UKG/Kronos). Experience with Timekeeping, Accruals, Advanced Scheduling, and Reporting. Experience supporting Workday Payroll or payroll integrations preferred. Experience with Collective Bargaining Agreements preferred. Knowledge of Human Resources and Payroll policies, procedures, and applicable regulatory requirements

Payroll & Timekeeping Operations

  • Own the day-to-day administration of UKG.
  • Ensure employee timekeeping information is accurate and payroll-ready for every payroll cycle.
  • Balance UKG time data prior to payroll processing and reconcile time transmitted to Workday Payroll.
  • Partner daily with Payroll to resolve all pay-impacting issues before payroll confirmation.
  • Research and resolving payroll discrepancies resulting from timekeeping errors.
  • Ensure compliance with all hospital policies and applicable collective bargaining agreements (CBAs) to support accurate and compliant payroll practices.
  • Perform other related duties and responsibilities as assigned.

UKG Governance & Configuration

  • Serve as the primary UKG functional administrator for Montefiore Nyack and Highland Medical.
  • Coordinate all configuration requests with the Payroll Manager and MHS UKG Support Team.
  • Analyze requested configuration changes and provide recommendations based on payroll, operational, and compliance impacts.
  • Test, validate, and document all configuration changes before and after implementation.
  • Maintain configuration standards, pay rules, accruals, schedules, pay codes, and system documentation.

System Auditing & Payroll Readiness

  • Audit missed punches, missing schedules, missing pay rules, pay code usage, shift differentials, overtime, premium pay, holidays, callbacks, accruals, transfers, and integration exceptions.
  • Monitor integration failures between UKG and Workday and coordinate timely resolution.
  • Ensure organizational timekeeping policies are consistently applied.

Advanced Scheduling

  • Serve as the UKG liaison for UKG Advanced Scheduling.
  • Partner with Nursing and departmental leaders on scheduling configuration, optimization, and support.
  • Support schedule templates, scheduling best practices, and payroll-impacting scheduling issues.

ServiceNow Administration

  • Own and manage the UKG ServiceNow support queue.
  • Prioritize, investigate, assign, resolve, and monitor support requests.
  • Escalate complex issues to the MHS UKG Support Team and ensure timely follow-up.
  • Track trends and recommend improvements based on recurring requests.

Training, Reporting & Employee Support

  • Function as the subject matter expert for UKG Timekeeping, Accruals, Advanced Scheduling, and Reporting.
  • Develop training materials and facilitate training for managers, timekeepers, and employees.
  • Provide exceptional employee support for payroll and timekeeping questions.
