We are seeking a detail-oriented and organized Unit Secretary to support our Labor & Delivery Triage unit at our Jackson, MI facility. This is a part-time, night shift position that plays a vital role in ensuring smooth operations and providing administrative support to our clinical team. The successful candidate will be responsible for managing clerical duties, coordinating patient information, and supporting the triage process during evening and overnight hours.
- Answer and direct incoming phone calls and patient inquiries in a professional and courteous manner
- Schedule patient appointments and manage the unit calendar efficiently
- Maintain accurate and organized patient records and documentation in compliance with healthcare regulations
- Assist with patient check-in procedures and collect necessary information for triage purposes
- Coordinate communication between clinical staff, patients, and other departments
- Perform data entry tasks with accuracy and attention to detail
- Manage office supplies and equipment inventory for the unit
- Support the triage team by preparing charts, gathering relevant patient information, and organizing medical records
- Greet patients and visitors with a welcoming and professional demeanor
- Perform general clerical duties including filing, copying, and faxing as needed
- Maintain confidentiality of all patient information and comply with HIPAA regulations
- Proven experience as a unit secretary, medical secretary, or similar administrative healthcare role (preferred)
- Strong organizational and time management skills with the ability to prioritize multiple tasks
- Proficiency in medical terminology and familiarity with healthcare documentation standards (preferred)
- Excellent written and verbal communication skills
- Competency in data entry and proficiency with computer systems and office software
- Ability to work independently and collaboratively with clinical and administrative staff
- Professional demeanor with strong customer service orientation
- Reliable and punctual with the ability to commit to night shift hours
- Knowledge of triage processes and patient flow management (preferred)
- Ability to maintain composure in a fast-paced healthcare environment
- Strong attention to detail and accuracy in all administrative tasks
- Familiarity with electronic health record (EHR) systems (preferred)
