Vendor Manager
Position Summary: The Vendor Manager ensures vendor compliance with quality standards, contractual obligations, and applicable regulatory requirements established by clients, the company, and federal and state agencies. This role is responsible for documenting and communicating vendor requirements, evaluating vendor performance, and addressing non- compliance issues with vendors and company branches. The Vendor Manager also supports identifying, assessing, and negotiating potential new vendors. This position operates with minimal supervision, regularly handling complex issues and escalating only the most critical or highly complex matters when necessary.
Essential Duties and Responsibilities:
- Document, maintain, and communicate vendor standards, policies, and requirements.
- Conduct vendor evaluations, assessments, and audits to ensure compliance with internal and external requirements
- Prepare detailed reports of findings, identify non-compliance issues, and recommend corrective actions
- Participate in the identification, evaluation, and negotiation of new vendors to meet business needs
- Collaborate with internal stakeholders (operations, legal, compliance) to align vendor selection and performance with business objectives and regulatory requirements.
- Ensure vendor contracts are current and provide for appropriate oversight or administrative fees
- Identifies leakage and non-compliance within the TRISTAR organization in the utilization of strategic vendors, and proposes a resolution to the issues
- Ensures analysis and reporting accuracy and integrity, and explains performance drivers and provides insights into performance trends
- Communicates findings to various stakeholders, including management and TRISTAR branch managers
- Under minimum supervision, designs, analyzes, and creates management reports/presentations that assist leadership in understanding vendor management trends and opportunities
- Stay current with applicable industry best practices related to vendor management
- Independently resolve vendor-related issues; escalate only the most critical or highly complex matters to senior management.
Additional Functions and Responsibilities
- Collaborates with internal stakeholders to identify and mitigate possible issues in achieving initiatives
- Develop and maintain effective vendor relationships
- Performs analysis to reconcile data from vendors to source reports to resolve any discrepancies, and validates vendor reporting of service level agreements
- Demonstrates ability to meet administrative requirements, including productivity, time management, and Quality Assurance standards
- Maintains confidentiality- Knowledge of laws and regulations about HIPAA and PHI
- Travels occasionally as needed
