Job Description: Vendor Payroll Manager

Remote | Full-time, exempt | Reports to the Chief Experience Officer (CXO) | Travel as needed

About the Role

As Vendor Payroll Manager, you’ll lead our Settlement Team, which processes payments to 1099 independent contractors (settlements) on behalf of our clients through the Openforce platform - the leading integrated cloud software suite for the independent contractor community. Your job is to make sure every client submission is completed accurately and that contractors are paid on their target date. You’ll be the team’s go-to expert on settlement processes, and you’ll coach and develop team members through one-on-ones, performance goals, and reviews. You’ll also build strong client relationships and resolve settlement concerns quickly, so transactions run smoothly and clients stay satisfied.

What You’ll Do

  • Lead the day-to-day operations of the Settlement Team and serve as the escalation point for client settlement issues, both internally and externally.

  • Monitor client settlement submissions and make sure the team acts on them on time.

  • Review processed settlements and newly configured deductions for quality, find the root causes of errors, and put fixes in place to reduce manual mistakes.

  • Identify and lead improvements to outdated or inefficient settlement processes, internally and with clients, to streamline submissions and reduce errors.

  • Ensure a smooth handoff from Implementation to the Settlement Team after client enrollment and onboarding.

  • Build strong internal working relationships with Client Services, Strategic Account Management, Accounting, Product, and Engineering.

  • Partner with our Strategic Account Managers on client requests for guidance and best practices and make sure the team gives clients proactive updates.

  • Work with client payroll and accounting staff to align on settlement processes, timing, and reporting.

  • Research and answer a wide range of client questions about payroll practices.

  • Oversee accounts receivable invoicing for settlement activity and lead collection efforts on outstanding balances.

  • Prepare and analyze weekly, monthly, quarterly, and annual settlement reports, identifying trends and insights that inform internal decisions.

  • Represent the Settlement Team in leadership meetings and occasionally meet with executives about changes to settlement schedules or payment methods.

  • Train new team members, add to the knowledge base, and encourage the team to use it.

  • Keep building your product, industry, and systems knowledge.
