Volunteer Operations & Engagement Executive (6 Months)
Summary
Coordinate volunteer deployments, engagement events, and logistics for a community health initiative in Singapore, using a volunteer management system and handling reimbursements.
Volunteer Deployment Operations (22 Hr per week)
- Maintain the Deployment Master List.
- Publish deployment opportunities on the Volunteer Management System (VMS) and volunteer.gov.sg.
- Prepare deployment descriptions, icons and event details.
- Publicise deployment opportunities through WhatsApp Communities.
- Monitor volunteer registrations via VMS and WhatsApp.
- Screen, assign and register Health Ambassadors (HAs) for deployments.
- Generate attendance lists and coordinate attendance verification with Health Programme Managers (HPMs).
- Process deployment cancellations and reimbursement administration through VMS.
- Perform attendance reconciliation and volunteer reimbursement notifications.
Engagement Operations (2 Hr per week)
- Coordinate administrative support for engagement events .
- Send invitations and reminder emails to volunteers.
- Book meeting rooms and coordinate venue logistics.
- Verify vendor invoices and supporting documents for payment processing.
Logistics & Inventory Management (6 Hr per week)
- Coordinate delivery of logistics.
- Liaise with Polyclinics, Active Ageing Centres (AACs), Community Hospitals and partners.
- Maintain inventory records, including t-shirts and programme materials.
- Monitor inventory movement and replenishment.
Operations Support (6 Hr per week)
- Support the planning team in compiling operational data and tracking outreach efforts for community partnerships and integrated citizen engagement.
- Support data management requests while ensuring compliance with governance and approval processes.
- Provide operational support to Project Leads in partner engagement activities.
- Update and maintain the Partnership Master List.
- Coordinate operational activities with partners and other community stakeholders.
Reporting & Administration (4 Hr per week)
- Compile deployment statistics and volunteer feedback.
- Generate operational reports and dashboards.
- Maintain deployment databases and operational records.
