World Relief seeks a Volunteer Systems Specialist who will support the World Relief Western Washington Outreach Team as we seek to invite and empower community members to join in the powerful work we do here at Western WA. This role is crucial to ensuring that our volunteers are able to seamlessly come alongside their new neighbors, and that we are able to tell their stories of impact accurately through accurate data tracking and reporting.
The Volunteer Systems Specialist oversees volunteer onboarding, technical assistance, and data management in support of World Relief’s local office and work. This role provides initial volunteer screening and onboarding, manages volunteer reporting and data, and places volunteers in various programs with the support of the entire the Outreach Team.
ROLE & RESPONSIBILITIES:
- Oversee and coordinate volunteer on-boarding, data management and activities in support of World Relief Western WA’s (WRWW) vision to see every newly arrived refugee and immigrant welcomed by community, rooted in community and empowered for community through mutually-transformative relationships.
- Recruit volunteers based on current needs across WR departments.
- Review applications and lead volunteer training for all new or returning volunteers prior to being placed and matched in a volunteer role.
- Process incoming volunteer and intern. background/driving checks and on-boarding paperwork.
- Update volunteer data regularly in Dynamics database.
- Review, approve, and match records of all volunteer hours and activities according to WRWW programs in Track It Forward and Dynamics databases.
- Connect with World Relief Home Office to stay up to date on volunteer policies, best practices, and resources.
- Make introductions, provide background information and support to volunteers and staff in the role connection process.
- Develop and request volunteer training courses in collaboration with World Relief Home Office.
- Help plan and facilitate meetings, events and quarterly training for volunteers, including workshops and guest speakers.
- Work closely with Volunteer Program Coordinators and Outreach Manager to pivot and adapt the program as needs change and assist volunteers through ongoing role transitions.
- Actively participate and contribute to Outreach Team meetings and promotional activities, engaging the community in the work of World Relief Western WA.
- Create and implement program evaluation tools to measure volunteer and participant experience, as well as the impact of our volunteer programs on other WRWW departments and staff.
JOB REQUIREMENTS:
- Mature and personal Christian faith
- Committed to the mission, vision, and values of World Relief
- Desire to serve and empower the Church to impact vulnerable communities
- Able to affirm and/or acknowledge World Reliefs Core Beliefs, Statement of Faith, Christian Identity and National Association of Evangelicals' For the Health of The Nation document
- Demonstrated ability to work effectively and sensitively with people of diverse cultural and religious backgrounds.
- Familiarity with trauma informed responses and cultural humility.
- Flexible schedule for some evening and weekend volunteer trainings and events.
- Excellent written and oral communication skills in English.
- Bachelor’s degree or equivalent experience.
- 1-2 years' experience with volunteer or program management.
- Experience with data management and reporting.
- Valid driver's license, access to reliable vehicle and ability to pass MVR standards.
PREFERRED QUALIFICATIONS:
- Customer service experience preferred.
- High attention to detail and experience with data tracking and reporting.
- Strong organizational and data management skills, with the ability to handle multiple projects at one time.
- Advanced computer knowledge, including MS Office suite and the ability to learn new programs.
- Comfortable with group presentation and training.
- Excellent interpersonal skills and ability to communicate across cultures.
- Ability to maintain confidentiality and professionalism.
- Initiative and ability to work independently.
