We are looking for a Production & Admin Assistant to provide administrative support to our Office and Production Department. The successful candidate will be responsible for day-to-day administrative duties,documentation, data entry and supporting the smooth operation of the office and Production department.
Job Purpose
The Warehouse Administrator is responsible for the day-to-day warehouse administration,documentation, SAP transactions, and storekeeping activities supporting the manufacturing of Intermediate Bulk Containers (IBC). The role ensures that all incoming and outgoing materials are properly documented, goods receipts are accurately processed in SAP, and records of raw materials and components,including their storage locations, quantities, batch information, and expiry dates, are properly maintained.
Key Responsibilities
1. Warehouse Documentation and Administration
- Prepare and issue Delivery Orders (DO) and other relevant warehouse documents accurately and on a timely basis.
- Check, process, and maintain documentation for incoming raw materials, production components, and outgoing goods.
- Ensure all warehouse documents are properly filed and readily available for reference, traceability, and audit purposes.
- Maintain accurate records of material movements within the warehouse.
- Liaise with relevant internal departments, including Production, Planning, Quality, Customer Service and Supply Chain, on warehouse documentation and material movement requirements.
2. SAP Transactions and Goods Receipt
- Perform Goods Receipt (GR) transactions accurately and promptly in SAP for incoming raw materials, components, and other materials.
- Verify Purchase Orders (PO), supplier Delivery Orders, and other supporting documents before processing Goods Receipt in SAP.
- Ensure all SAP transactions are completed accurately and in accordance with company procedures.
- Process and maintain relevant SAP transactions relating to material movements and inventory, where required.
- Assist in investigating and resolving discrepancies between physical stock, supporting documents, and SAP records.
3. Storekeeping and Material Control
- Maintain accurate manual records of all raw materials and production components stored in the warehouse.
- Keep an up-to-date record of:
- Material description and material code
- Storage location
-Quantity on hand
-Batch or lot number, where applicable
-Expiry or shelf-life date, where applicable
- Update material location and quantity records promptly whenever there is a receipt, issue, transfer, or other movement of materials.
- Ensure materials are properly identified and stored in their designated locations.
- Support material traceability requirements for manufacturing operations.
- Monitor expiry dates and shelf life of raw materials and inform the relevant Warehouse, Production, or Quality personnel of materials approaching expiry.
- Support proper stock rotation based on company procedures, including FIFO or FEFO where applicable.
4. Production Material Support
- Support the timely preparation and administration of raw materials and components required for IBC manufacturing.
- Coordinate with the Production department on the availability and movement of materials required for production.
- Maintain proper records of materials issued from the warehouse to production.
- Assist in ensuring timely and accurate documentation of material movements between the warehouse and production areas.
5. Scrap Material Administration
- Prepare and process Purchase Orders (PO) and relevant documentation for the sale or disposal of scrap materials in accordance with company procedures and approval requirements.
- Maintain accurate records of scrap materials generated, stored, and collected.
- Coordinate with relevant departments and approved scrap vendors on collection arrangements and supporting documentation.
- Ensure proper documentation is maintained for audit and traceability purposes.
6. Inventory Control and Stock Taking
- Support regular cycle counts, periodic stock checks, and physical stock takes.
- Investigate and report discrepancies between physical tock, SAP records, and manual storekeeping records.
- Assist in maintaining accurate inventory records and timely updating of discrepancies.
- Support the Warehouse Manager in improving inventory accuracy and warehouse record control.
7.General Warehouse Support
- Prepare daily, weekly, and monthly warehouse reports as required.
- Provide administrative support to the Warehouse Manager and warehouse operations team.
- Assist with internal and external audits by preparing relevant warehouse records and documentation.
- Maintain proper organization and housekeeping of warehouse documents and records.
- Support general warehouse operations when required.
- Carry out other duties and responsibilities as assigned by the Warehouse Manager or Supply Chain Manager.
Requirements
- Minimum GCE ‘O’ Level, NITEC, Diploma, or equivalent qualification.
- Preferably 1–3 years of experience in warehouse administration, storekeeping, inventory control, or a similar role, preferably in a manufacturing environment.
- Experience in a manufacturing, industrial, chemical, plastics, or related environment will be an advantage.
- Experience with SAP or other ERP systems is preferred.
- Familiarity with warehouse documentation, including Purchase Orders (PO), Delivery Orders (DO), and Goods Receipt (GR) processes.
- Basic understanding of raw material inventory control, material traceability, stock movement, and expiry or shelf-life management.
- Possession of a valid forklift licence is preferred but not compulsory.
- Proficient in Microsoft Excel and Word.
- Meticulous, well-organised, and able to maintain a high level of accuracy in documentation and inventory records.
- Able to work independently and communicate effectively with Warehouse, Production, Quality, Procurement, and other internal departments.
- Physically fit and able to support general warehouse activities when required.
