Job Summary

The Warehouse Assistant Supervisor supports the daily operation of the warehouse and assists the Warehouse Supervisor in managing inventory, receiving and issuing goods, stock organization, order preparation, and warehouse staff.

The role requires someone who is hands-on, responsible, organized, and able to lead the warehouse team while ensuring that stock records are accurate and daily operations run smoothly.

Key Responsibilities

1. Warehouse Operations

  • Assist in overseeing daily warehouse activities.
  • Ensure incoming and outgoing goods are properly checked and recorded.
  • Coordinate picking, packing, loading, unloading, and preparation of goods.
  • Ensure orders and materials are prepared correctly and on time.
  • Maintain proper storage and organization of products and materials.
  • Ensure warehouse space is used efficiently.

2. Inventory Control

  • Monitor stock movement and maintain accurate inventory records.
  • Conduct regular stock counts and assist with stock-taking exercises.
  • Investigate stock discrepancies and report issues to management.
  • Ensure all stock-in and stock-out transactions are properly recorded.
  • Monitor low-stock items and inform the relevant person when replenishment is required.
  • Reduce stock loss, damage, and incorrect stock issuance.

3. Team Supervision

  • Assist the Warehouse Supervisor in managing warehouse assistants and workers.
  • Assign daily tasks and monitor work progress.
  • Ensure staff follow warehouse procedures and company policies.
  • Guide and train new warehouse staff.
  • Monitor staff attendance, punctuality, productivity, and work quality.
  • Step in to coordinate warehouse operations when the Warehouse Supervisor is unavailable.

4. Order & Installation Preparation

  • Prepare and check materials required for customer orders and installation jobs.
  • Ensure the correct quantity, size, type, and accessories are issued.
  • Coordinate with the operations, sales, delivery, and installation teams when required.
  • Ensure urgent or next-day jobs are prepared in advance.
  • Verify returned or unused materials before returning them to inventory.

5. Warehouse Safety & Housekeeping

  • Maintain a clean, organized, and safe warehouse environment.
  • Ensure goods are stored safely and correctly.
  • Ensure walkways, loading areas, and working areas remain clear.
  • Report damaged equipment, unsafe conditions, or workplace incidents immediately.
  • Ensure staff follow workplace safety procedures.

6. Reporting & Administration

  • Maintain basic warehouse records and documentation.
  • Update inventory or warehouse systems when required.
  • Report stock shortages, damaged goods, discrepancies, and operational problems.
  • Provide regular updates to the Warehouse Supervisor or Operations Manager.

Requirements

  • Previous warehouse, logistics, inventory, or operations experience preferred.
  • Supervisory or team-leading experience is an advantage.
  • Able to perform physical warehouse duties when required.
  • Able to organize and prioritize daily work.
  • Basic computer skills and ability to use inventory systems, Excel, or Google Sheets.
  • Good communication and teamwork skills.
  • Responsible, punctual, and able to work independently.
  • Strong attention to detail, especially when checking stock quantities and orders.
  • Forklift licence is an advantage but not mandatory.
