Warehouse Executive

Job Summary

The Warehouse Executive is responsible for overseeing daily warehouse operations, including cargo receiving, storage, container stuffing and unstuffing, inventory control, safety compliance, equipment maintenance, and manpower coordination. The role ensures cargo is handled accurately, safely, and efficiently while maintaining proper documentation and communication with the operations team.

Key Responsibilities

Cargo Receiving

  • Receive inbound cargo and verify the delivery address, cargo quantity, and supporting documents against the Delivery Order (DO).
  • Inspect the physical condition of all incoming cargo and report any damages immediately.
  • Take photographs of damaged cargo and record the damage details on the Delivery Order before acceptance.
  • Label all cargo accurately with the booking reference, consignee, consignor, reference number, cargo quantity, and cargo type (Pallet – PLT, Carton – CTN, Package – PKG).
  • Ensure all received cargo is stored in the correct warehouse location.

Warehouse Operations

  • Prepare the daily import unstuffing and export stuffing schedules based on the operational list provided.
  • Plan container stuffing efficiently by considering cargo volume (M³), weight, dimensions, stackable, and container capacity.
  • Monitor loading and unloading activities to ensure cargo safety and operational efficiency.
  • Maintain accurate warehouse records and ensure cargo is traceable at all times.

Inventory Control

  • Prepare the Daily Warehouse Stock Tally Sheet for each consignee.
  • Verify physical stock against warehouse records and investigate any discrepancies.
  • Maintain accurate inventory records and update stock movements promptly.
  • Tabulate cargoes handling records and submit weekly warehouse reports.

Documentation & Communication

  • Email stamped Delivery Orders for all cargo included in the daily stuffing list to the office.
  • Prepare and email damage reports to the respective operations officers based on the consignee.
  • Maintain proper filing of warehouse documents and operational records.
  • Coordinate closely with operations, customer service, and transport teams to ensure smooth cargo handling.

Safety & Maintenance

  • Ensure warehouse equipment is properly maintained and in good working condition.
  • Monitor the availability and condition of safety equipment and first aid supplies.
  • Coordinate forklift inspections and maintenance schedules.
  • Maintain warehouse cleanliness and ensure compliance with workplace safety procedures.
  • Participate in warehouse safety meetings and promote a safe working environment.

Manpower Coordination

  • Coordinate daily manpower allocation to ensure smooth warehouse operations.
  • Provide operational coverage for absent team members, including receiving, forklift operations, and other warehouse activities.
  • Assist with manpower planning during peak operational periods.
  • Return to work when required to support operations during manpower shortages or urgent operational requirements.

Requirements

  • Minimum GCE 'O' Level, NITEC, or Diploma in Logistics, Supply Chain, or a related discipline.
  • At least 2–3 years of warehouse or logistics experience preferred.
