Garden State Coffee is a Singapore-based business importing, exporting and distributing premium coffees in Singapore and wider South East Asia. We deliver coffee beans, ground coffee, capsules and coffee machine maintenance supplies – fast, competitively and reliably via Singapore’s main platforms (Lazada, Shopee), supermarkets (Red Mart) and direct to businesses.
The Role
We're looking for an experienced, hands-on Warehouse & Fulfilment Operations Manager to own the physical and operational backbone of Garden State Coffee — from inventory and fulfilment through to logistics partnerships and B2B order servicing. This is a role with scope and autonomy: you will manage our warehouse team, own our carrier relationships, and be the key operational voice as we scale. You'll work closely with our founder and our e-commerce staff, but the day-to-day running of operations will be yours.
What You will Own
Inventory & Fulfilment
• Own our inventory management system (Big Seller), ensuring accuracy across Shopee, Lazada, RedMart and Shopify.
• Oversee inbound shipment receiving and quality checks.
• Own daily fulfilment planning, dispatch scheduling, and carrier cut-off times.
Team & Warehouse Management
• Manage the day-to-day work of our picker/packers and Sunday part-time staff, including scheduling and performance.
• Oversee daily pick, pack, and dispatch operations.
• Maintain warehouse organisation and stock housekeeping standards.
Logistics & Carrier Relationships
• Own communication and relationship management with our carriers and 3PL partners.
• Resolve delivery and fulfilment-related disputes on Shopee and Lazada, providing operational evidence and data as needed.
Business to Business Account Servicing
• Process repeat orders and quotes for a special category of Business clients (i.e. offices, embassies, factories, ship chandlers).
• Handle Business invoicing and upload delivery evidence into client supplier portals where required.
Systems & Continuous Improvement
• Maintain accuracy of our operational systems (OMS/inventory), incorporating floor-level input from the warehouse team.
• Contribute operational input into business strategy and growth planning discussions.
• Support the adoption of AI and automation tools that improve operational workflows.
What We're Looking For
• At least 3+ years of experience in warehouse, logistics, or ecommerce operations, ideally in an SME or fast-growing ecommerce environment.
• Comfortable managing people directly — you'll be responsible for at least one direct report, increasing to two within a short time frame.
• Experience with inventory or order management systems (e.g. Big Seller, Shopify, marketplace seller centres) is a strong plus.
• Confident communicator — you'll deal directly with carriers, 3PL partners, and Business clients.
• Organised, reliable, and comfortable owning outcomes without close supervision.
• Based in Singapore and able to work from our warehouse.
