Job Overview
StorSuite is seeking a highly organized and people-first individual to join our team as a Zoho Specialist. This is a full-time, permanent position based in the Austin, Texas area. In this role you will build and maintain the CRM and communication infrastructure our employees and clients rely on as we grow our self-storage business. You will own the Zoho platform end to end: designing the processes that route and progress work, writing the automation that removes manual steps, keeping the data trustworthy, and training the people who use it every day.
You will work closely with the Sales and Marketing teams to understand what they need, translate it into Zoho configuration, and support them through the change. The ideal candidate combines genuine technical depth in the Zoho ecosystem with the communication skills to teach it to non-technical colleagues, and cares as much about data quality as about the build itself.
This is a build role as much as an administration role. Our Zoho environment is established and carries real volume, and there is meaningful greenfield work in front of the person who takes this on. The section below is an honest picture of what you would inherit.
Job Duties / Day-To-Day Expectations
Build and configure
- Develop custom business processes using custom fields, workflows, campaigns, assignment rules, approval processes, page layouts, record types, dynamic layouts, apps, actions, custom settings, mobile administration, dashboards and reports.
- Design and maintain lead assignment and routing, lead scoring, follow-up cadences, blueprints and approval processes so that every record has a clear owner and a defined next step.
- Own the opportunity pipeline design: stage definitions, probabilities, forecast categories and layout-specific pipelines that reflect how each line of business actually sells.
- Configure and maintain the custom modules that support our service lines, including Facilities, Claims, Plans, Services, Investor Accounts and Underwriting Fees.
Automate and integrate
- Develop, maintain and troubleshoot custom functions and business logic using Zoho Deluge to extend CRM functionality and automate business processes.
- Build and manage automated workflows using Zoho Flow and other integration platforms to connect Zoho applications with third-party systems and eliminate manual processes.
- Configure APIs, webhooks, custom actions and other automation tools as needed to support business requirements.
- Monitor automation health: review function and workflow failure logs, resolve errors, and put alerting in place so failures surface immediately rather than silently.
- Maintain and document the integration estate, including Zoho Bookings, Sign, Desk, Projects, Finance Suite, SalesIQ, LeadChain, ActiveCampaign and Google Workspace.
Data quality and system health
- Import data and manage data quality and overall CRM health, including deduplication, field rationalisation, picklist governance and consistent source attribution.
- Own the bulk import process, including templates, validation and post-import assignment, so that imported records arrive complete and owned.
- Proactive system maintenance including security reviews, release updates and health checks.
- Manage critical compliance components including but not limited to hard and soft bounces, spam reports, opt-out rate, and IP and domain health.
- Manage Zoho roles, profiles, sharing rules, workflows, groups and automation as needed.
Reporting and analytics
- Build, maintain and optimize Zoho Analytics dashboards and reports to give leadership clear visibility into sales, marketing, operational and business performance.
- Set up and provide weekly KPI reports for the CEO, CTO and COO / Director of Business Development.
- Define and instrument the operational metrics that show whether the process is working, such as speed to first contact, lead-to-opportunity conversion by source, pipeline aging and forecast accuracy.
Enablement and training
- Set up new desktop and app users, and provide ongoing user training.
- Create Zoho self-guided training material and manage it in Zoho Learn.
- Document the configuration so that processes, automations and integrations are understandable by someone other than their author.
Collaboration and community
- Work closely with the Sales and Marketing teams, including attending the weekly Smarketing meeting.
- Create pre- and post-show email campaigns and work alongside the marketing team. Trade shows are currently our highest-volume lead source, so the follow-up sequence behind them matters a great deal.
- Evaluate and manage Zoho releases and integrated applications, and translate what is new into things we should adopt.
- Join Zoho community groups, and attend annual Zoho conferences and monthly webinars when appropriate.
- Meet industry-specific business requirements for the self-storage sector.
Requirements
Qualifications
Required
- Bachelor's degree in a relevant field of study, or 5+ years of relevant experience.
- Exceptional proficiency in CRM software and Google Workspace
- Experience using Zoho or another CRM to track and report on project metrics.
- Experience creating and maintaining custom functions using Deluge or a comparable scripting language.
- Experience with Zoho Flow, Zapier, Make, or similar workflow automation and integration platforms.
- Understanding of APIs, webhooks, data mapping, and system integrations.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent interpersonal skills and the ability to build rapport with employees at all levels of the organization.

- Proactive attitude with a commitment to delivering outstanding service.
- Flexibility to adapt to evolving business needs and willingness to take on new challenges as required.
Preferred
- Hands-on experience administering Zoho CRM at scale, including assignment rules, scoring rules, cadences, blueprints and multiple pipelines.
- Experience with Zoho Analytics, or a comparable BI tool, for executive reporting.
- Experience inheriting and rationalising an existing CRM: consolidating duplicate fields, cleaning legacy data and retiring unused automation.
- Familiarity with the wider Zoho One suite, particularly Desk, Projects, Sign, Finance Suite and Learn.
- Experience with email deliverability and marketing compliance, including bounce handling, opt-out management and domain reputation.
- Zoho certification, or experience in self-storage, real estate, or another asset-based service industry.
