Accounts Receivable Assistant
The AR Assistant supports Omron Healthcare's accounts receivable operations.
This role provides the independent reconciliation, collections outreach, and third-party collection agency oversight that sits between that outsourced cash-application function and the general ledger.
Key Responsibilities
Collections & Customer Outreach
- Perform collection outreach (“touches”) for assigned transitioned accounts —— by phone and email to resolve past-due balances
- Monitor the ~42 transitioned customer accounts for timely payment; escalate aging and at-risk balances to the Accounting Manager or Controller
- Support resolution of deductions in partnership with Sales, Logistics / 3P providers, and the customer, per OHI protocols
Cash Application Reconciliation (Segregation-of-Duties Control)
- Independently reconcile cash application output — performed by the outsourced, AP-aligned team — against bank receipts and the AR subledger for assigned accounts
- Gather remittance backup as needed across customer portals (currently up to 12 distinct portals) and email-based MFA access to resolve unapplied cash and short-pay differences, reflecting the ongoing shift from check-based to electronic payments
- Research and resolve unapplied cash items and payment/invoice mismatches, including payments that cover multiple invoices and require line-by-line matching
Third-Party Collection Agency Oversight
- Manage the relationship with the third-party collection agency handling hard-collections referrals for assigned accounts — a responsibility being restored in-house after previously shifting to the shared-services Center of Excellence
- Reconcile agency remittances against the customer account, net of the agency's contingency fee, and track Omron's residual liability for balances the agency is unable to collect
- Escalate uncollectible balances for internal hard-collections follow-up
Deduction & Account Maintenance
- Investigate and resolve customer deductions (COOP, shortage claims, pricing disputes, fines) using the SupplyPike deduction management system
- Secure approval for and process credit memos for valid deductions in SupplyPike; dispute deductions considered invalid, with supporting documentation
- Process and document customer deductions; coordinate resolution with the Corporate Planning Associate (deductions support) and other internal stakeholders
- Maintain customer account files and supporting documentation for audit and month-end reconciliation
- Support monthly AR reporting and the reconciliation of AR to the general ledger for assigned accounts
