Admin Assistant
The Admin Assistant will be responsible for supporting the day-to-day administrative and operational needs of the organization. This role requires a proactive and dependable individual who can manage office operations, facilities, logistics, vendor relationships, and employee support services while contributing to a positive and efficient workplace environment.
The ideal candidate is highly organized, solution-oriented, and comfortable handling multiple responsibilities in a dynamic nonprofit setting.
Key Responsibilities
Office Administration & Operations:
- Support the smooth functioning of day-to-day office operations.
- Maintain office infrastructure and ensure a clean, safe, and productive work environment.
- Ensure office supplies, stationery, pantry items, and other consumables are adequately stocked.
- Establish and maintain administrative systems and processes that improve organizational efficiency.
- Maintain records, documentation, and administrative databases accurately.
- Coordinate with vendors and service providers for office maintenance and repairs.
- Oversee facility-related requirements and ensure timely resolution of operational issues.
- Support procurement of office supplies, equipment, and materials.
- Monitor office assets and maintain inventory records.
- Coordinate logistics for internal meetings, workshops, retreats, and organizational events.
- Assist with venue bookings, travel arrangements, accommodation, transportation, and related logistics.
- Ensure meeting rooms are prepared and equipped for internal and external meetings.
- Support hospitality arrangements for guests, partners, donors, and visitors.
- Manage incoming and outgoing courier services.
- Coordinate the dispatch and receipt of documents, materials, and parcels.
- Maintain courier tracking records and delivery logs.
- Support printing, scanning, filing, photocopying, and document management activities.
- Support onboarding logistics for new team members, including workspace setup and administrative requirements.
- Assist team members with operational and logistical requests.
- Ensure pantry and workplace facilities contribute to positive employee experience.
- Contribute to building and sustaining a positive organizational culture.
- Demonstrate a service-oriented mindset and support organizational needs as they arise.
- Work collaboratively across teams to ensure smooth execution of administrative processes.
- Take ownership of tasks and proactively identify opportunities to improve systems and processes.

- Bachelor’s degree in any discipline.
- Minimum one year of experience in administration, operations, facilities management, or a related role (Freshers can also apply)
- Experience in a nonprofit or social impact organization will be an added advantage.
- Proficiency in Microsoft Office, Google Workspace, and basic administrative tools.
- Strong written and verbal communication skills.
- Working knowledge of Tamil and English.
