Summary
The Philadelphia Port Operations Administrator supports the daily and long-term operation of the Vehicle Processing Center by coordinating production planning, vessel planning, inventory requirements, customer demand, labor requirements, and operational reporting. This position works closely with the General Manager and site leadership to develop production plans based on customer requirements, vessel schedules, available inventory, tender requirements, processing capacity, and anticipated labor needs.
Responsibilities
- Prepare and distribute the PH Port Availability Report each morning before the start of operations.• Develop and maintain the Daily Production Plan based on available inventory, customer demand, tender requirements, processing requirements, and operational capacity.• Prepare and maintain the Weekly ANT Report, including vehicle aging and applicable inventory trends.• Review available inventory, aging units, holds, campaigns, customer priorities, and tender requirements when establishing the production plan.• Establish planned daily production volumes and processing priorities by customer and/or operational area.• Maintain visibility of upcoming vessel schedules and anticipated discharge volumes.• Incorporate vessel activity into production and capacity planning.• Identify upcoming increases or decreases in workload that could affect production or staffing.• Develop anticipated labor requirements based on the approved production plan and expected workload.• Coordinate planned labor requirements and significant workload changes with the labor provider.• Provide Operations leadership with a clear daily outlook before production begins.• Escalate potential inventory, capacity, labor, vessel, or customer-related concerns that could impact the day's operation.• Monitor actual production performance against the Daily Production Plan.• Track progress toward established production targets throughout the operating day.• Identify production shortfalls, bottlenecks, or significant deviations from plan.• Communicate performance concerns to the Operations Manager and appropriate leadership.• Update production forecasts when operational conditions or customer requirements change.• Monitor vehicle availability and inventory movement throughout the day.• Monitor tender activity and identify potential risks to customer requirements.• Compare planned labor requirements against actual production activity and workload.
- Assist Operations leadership with determining when production priorities or labor requirements should be adjusted.• Maintain historical production, inventory, vessel, and labor data to support future planning.• Provide end-of-day or other required production performance reporting.• Analyze plan-versus-actual results to improve future production planning and forecasting.• Provide administrative and operational planning support for Lucid operations.• Assist with Lucid inventory, production, charging, tender, reporting, and other operational requirements as assigned.• Support enhancements, testing, implementation, and continuous improvement of VLMS and other operational systems.• Support development and enhancement of the Shuttle App and related transportation or employee-movement tools.• Identify opportunities to improve operational reporting, system functionality, data accuracy, and workflow efficiency.• Assist with testing new system functionality and provide operational feedback to IT and system-development teams.• Support special customer projects, campaigns, new programs, and operational initiatives.
Compensation Range
$70,000 - $85,000 Per Year (Subject to Compensation Study Upon Candidate Selection)

Skills
Proficient with PC and advanced knowlege of Microsoft Excel
Various specialty soft3wsare and servers such as AS400, iVELES, ITMS, SAP, GPQMS, GPPM, WebDCS, and KIa PUP System desired
Ability to create, read, comprehend and interpret documents, such as, operating and maintenance instructions and procedure manuals
Excellent written and verbal skills
High analytical math skills
Ability to communicate effectively before groups of customers or employees of organization
Education & Experience
Required Qualifications
High School Diploma/G.E.D.
3-5 Years of Logistics, Operations, Transportation experience
Preferred Qualifications
Bachelor's Degree
4-7 Logistics, Operations, Transportation experience
1-3 years supervisory experience
